Position Purpose

The overall duty of this position is to provide temporary day-to-day administrative and project support both internal and external clients within quality assurance operations. The Temporary Site Administrator assists with a variety of standard office procedures including data entry, photocopying and collecting project specific documentation.

This position is on a temporary full-time basis. Due to the nature of this position there will be on-call and overtime requirements.

Duties and Responsibilities

  • Collect project related documentation and prepare document control.
  • Update and maintain various documentation as required.
  • Assist with the distribution of company supplies to project sites and Technicians.
  • Maintain office supply inventory and order supplies in a cost effective manner.
  • Prepare purchase order requests.
  • Coordinate all mail including arranging couriers when required.
  • Manage and track the progress of tasks, processes and projects.
  • Provide backup support for the quality assurance team.
  • Adhere to organizational policies and procedures, including but not limited to Applus Code of Ethics and Confidentiality Agreements.
  • Other duties may be assigned as deemed necessary.

  • Strong computer skills in MS Office and other software applications.
  • Education and Work Experience

  • Post-secondary education in Office Administration from an accredited College.
  • 2-3 years’ experience in office administration.
  • Strong industry knowledge of NDE is an asset.
  • Equivalent industry experience combined with other formal training and accreditations may be accepted.
  • Working Conditions

  • Required to work both inside and outside in heat / cold, wet / humid and dry / arid conditions in temperature extremes and inclement weather.
  • Frequently required to use personal protective equipment to prevent exposure to hazardous materials in various working environments.Commonly exposed to walking on slippery or uneven surfaces.
  • Occasionally required to work in noisy / loud working environments especially on project sites.
  • Work outside of normal business hours will be occasionally required.
  • Overtime required during the week and weekend with work volume.
  • Ability to be flexible with work schedules and respond to requests without advance warning or notification.
  • Occasional to frequent travel will be required within Canada.
  • Working conditions will vary between project locations.
