Job Description :
Reporting to the Small Options Manager the House Coordinator is responsible for the efficient operation of the residence, in accordance with the philosophy, policies, and procedures of the organization.
The House Coordinator provides leadership and direction to ensure a sound staff team and high-quality resident programs.
Requirements :
- Bachelor’s Degree or equivalent in Social Work, Sociology, Psychology, Special E ducation, LPN designation or other Human Services area of study
- Two years’ experience in a related field or a combination of education, training and related work experience
- Minimum two years supervisory experience in a related field
- A Criminal Record Check / Vulnerable Sector Clearance will be required as part of the hiring process
- Driver’s License and Clean Driver’s Abstract
Responsibilities :
The House Coordinator is responsible for the duties listed below along with other duties as required :
Administration :
- Manage budget items and expenditures, maintaining accurate records and ensuring cost efficiency at all times
- Oversee all leadership functions related to the daily operations of the home
- Ensure the completion and accuracy of all required paperwork
- Participate in meetings and attend mandated training as required
- Protect all persons served and staff in regard to privacy, confidentiality, legalities, and benefits
- Recommend and assist in the development of policies and procedures
- Assess, as per procedure, potential persons served for the program, and make recommendations regarding the suitability of placement
- Make recommendations regarding referrals, admissions, and discharges of persons served
- Ensure Comfort Allowance monies are spent according to existing policies and the expenditures are documented correctly
Staff Supervision :
- Supervise the staff to ensure compliance with all policies and procedures.
- Foster a positive and respectful attitude among staff, promoting strong rapport with those served
- Report employee problems to Human Resources and Manager of Small Options to take appropriate disciplinary action according to the established policy
- Ensure staff are well-informed about community resources and effectively utilize them on behalf of those served
- Serve as a liaison between staff and administration, effectively communicating staff concerns and needs
- Provide orientation and training to new employees, volunteers and students
- Ensure that Provincial Interim Standards are being followed by all staff
- Identify employee training needs and recommend suitable training programs
Person Served / Programming :
- Ensure a holistic approach to person served care, including but not limited to freedom of individuality, leisure needs, personal hygiene and appearance, physical and mental health, relationships and social skills, life skills, vacation periods, and spiritual needs in the least restrictive environment as possible
- Manage interpersonal relationships in the home using a therapeutic approach
- Conduct regular assessments of the skills and progress of those served, and oversee the development and supervision of Program Plans for each individual
- Coordinate person served and staff involvement in the development, implementation, and evaluation of the Program Plans
- Be available to deal with emergency situations in an efficient, effective manner
- Ensure regular communication / consultation with workplaces
- Ensure and promote a warm, home-like environment for those served
- Maintain a current working knowledge of the latest resources and techniques available in the field and to apply such knowledge
- Communicate with appropriate mental and physical health professionals to address the needs of individuals served
- Ensure the accuracy of all persons served files
- Review menu planning in collaboration with the Dietitian to ensure all persons served receive adequate nutrition
Safety / Maintenance :
- Ensure the cleanliness and safety of the home, arranging necessary maintenance and repairs according to policy
- Ensure that staff and persons served are familiar with the Balsam emergency procedures, and that evacuation protocols and monthly fire drills are regularly practiced
- Deal with emergency situations in an efficient manner implementing established policies and practices
- Ensure that the Emergency Evacuation Procedures are updated as changes arise
Public Relations and Education :
- Enhance public relations by establishing and maintaining communications between relatives, advocates, other homes within the agency, day program providers, social agencies, Department of Community Services and surrounding neighbors
- Interpret the philosophy and programs of the facility to the community
- Be familiar with the programs of Balsam and other agencies offering various residential alternatives for persons served
Other :
- Manage their own time independently while receiving program administrative guidance from the Manager
- Responsible for all financial aspects of the program, including cost-related decisions
- Responsible for equipment and materials
- Responsible for meeting all the legal requirements
- Recommend programs, equipment needs and repairs to improve the overall program
- This role demands a strong level of flexibility to meet diverse commuting needs while ensuring safe transportation for persons served.
House Coordinators should be prepared to travel locally, within Halifax Regional Municipality (HRM), and potentially out of the province as needed.
