Our client is a dynamic and innovative organization dedicated to Mental Health industry. They are seeking to hire a highly organized and efficient Executive Assistant to support their executive team for a two-month contract with the possibility of an extension.
This role is ideal for a detail-oriented professional who can thrive in a fast-paced environment and provide top-notch administrative support.
Job Summary : The Executive Assistant will provide comprehensive administrative support to senior executives, ensuring the smooth operation of daily activities and contributing to the efficiency and effectiveness of the executive team.
This role requires a high level of professionalism, discretion, and the ability to handle multiple tasks simultaneously. Key Responsibilities :
- Manage executive calendars, schedule meetings, and coordinate appointments.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Handle travel arrangements, including booking flights, hotels, and transportation.
- Organize and coordinate meetings, conferences, and events.
- Prepare agendas, take meeting minutes, and follow up on action items.
- Screen and direct phone calls, emails, and other communications.
- Act as a liaison between executives and internal / external stakeholders.
- Maintain and organize files, records, and documentation.
- Ensure all documents are up-to-date and accessible.
- Assist with special projects and initiatives as needed.
- Conduct research and gather information for reports and presentations.
- Monitor and maintain office supplies inventory.
- Perform other administrative tasks as required to support the executive team.
Qualifications :
- Proven experience as an Executive Assistant or in a similar administrative role.
- Exceptional organizational and time-management skills.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to handle confidential information with discretion.
- Excellent interpersonal skills and the ability to interact with all levels of the organization.
- Detail-oriented and able to work independently with minimal supervision.
- Flexibility and adaptability to changing priorities.
