Who we need
The Bilingual Office Administrator will be responsible to provide exceptional care and embrace the company values. You will be accountable to receive and reroute all incoming phone calls, welcome all visitors and employees in the office, handle basic office administrative tasks and provide administrative support to our Senior Leadership Team.
You will be located in Montreal and required to be in office four (4) days per week, supporting key business hours between 9 : 00 a.
m. to 3 : 00 p.m. Monday through Thursday.
What you will do
- Provide outstanding customer service to internal and external customers / clients;
- Receive visitors at the front desk professionally by greeting, welcoming, directing and announcing them appropriately.
- Use proper sign-in protocol;
- Efficiently handle all incoming inquiries with courtesy;
- Prepare outgoing mail and receives all incoming and outgoing FedEx mail;
- Prepare and coordinate all IT equipment deliveries and / or returns via FedEx;
- Prepare and track all FedEx shipments, and coordinate with employees & IT focal;
- Distribute mail to correct departments in a timely manner;
- Collaborate with Finance and coordinate payments for invoices, when applicable;
- Maintain office petty cash;
- Provide support with in office all employee events and / or external social celebrations such as : Summer All Employee Event & Year End event;
- Place orders for office supplies within budget and maintain inventory;
- Order kitchen supplies and maintain proper inventory;
- Keep kitchen equipment in good working order with a weekly maintenance check;
- Maintain office equipment and ensure that all is good working condition. Report any issues to appropriate department IT and / or Facilities;
- Ensure reception area, and visitor areas, boardroom / meeting rooms, kitchen, and common areas are maintained and presentable;
- Advise leader of any issues and help to provide solutions;
- Coordinate booking of meetings & meeting rooms;
- Arrange for office catering for special meetings / events;
- Manage calendars of select senior leadership members and provide general admin support;
- Manage Expense Claims for Senior Leadership Team;
- Manage and assist Senior Leadership team with travel bookings / arrangements.
What you will bring
The education & the experience. Secondary School education preferred or work experience in similar role.
The skills. Bilingual proficiency is required (English and French). Well organized, with good time management skills. Excellent communication skills, both verbal and written.
Team player with work ethic, and the ability to prioritize and multi-task.
The knowledge. Proficient with MS Office. Knowledge of cloud-based phone system and office equipment (e.g., printer, fax machine, etc.).
The drive. Can embraces a high-performance culture with a customer focus. Enthusiastic, able to promote a team environment.
Self-starter, problem-solver, you can take initiatives and work with a sense of urgency. Diplomat, courteous, and respectful, you also are a strong learner supporting continuous learning.
The assets. Confident, mature, and able to work under pressure in a changing, dynamic environment, you possess a strong detail orientation, and can work thoroughly, accurately, and error-free.
Punctual, reliable in work attendance, you can embrace easily change.
