POSITION MANDATE
RAYHAWK is looking for a highly organized and proactive Project Administrator to support multiple teams across the organization. This is a temporary full-time position on a six-month term, with the possibility of extension.
This role is central to day-to-day execution—supporting project coordination, materials tracking, and administrative tasks to ensure projects move forward efficiently and teams remain aligned. The ideal candidate is detail-oriented, adaptable, and comfortable managing multiple priorities in a fast-paced environment.
REPRESENTATIVE DUTIES
Project & Materials Support
- Track ordered parts and perform vendor follow-ups on deliveries
- Receive shipments, match packing slips to purchase orders, and maintain traceability
- Allocate parts to correct shelves, bins, and deployment kits
- Verify completeness of parts ahead of builds and site deployments
- Identify and communicate shortages or discrepancies early
Administrative & Cross-Functional Support
Provide administrative support across cross functioning teams and operationsAssist with document control, tracking logs, and internal reportingSupport project coordination, readiness checklists, and follow-upsHelp maintain consistency across internal processes and workflowsEDUCATION AND EXPERIENCE
Ability to manage multiple projects and shifting prioritiesClear communicator with a proactive, problem-solving mindsetComfortable working cross-functionally in a growing organizationExperience in project administration, logistics, or operations support is an assetFamiliarity with POs, inventory tracking, or ERP systems is an assetAbility to safely lift, carry, and move materials and equipment as required for the roleTasks may involve lifting items up to approximately 25–50 lbs on an occasional basisAbility to stand, walk, bend, and work in a warehouse or shop environmentWORKING CONDITIONS
The incumbent works in an office / lab environment.
