Role Purpose
As our Office Administrator, you will be responsible for providing administrative support to various operational departments, reception duties, as well as coverage for other administrative positions. As the first point of contact this is an integral part of our customer service team.
Key Responsibilities
- Provide analytical support for purposes such as data analysis, statistical reporting, benchmarking activities, developing and generating queries, preparing and compiling reports and documents using various software and tools.
- Maintain office inventories and managing office visitors and inquiries.
- Create and maintain records, policies and procedures for the Administration Services department.
- Provide messages to support all areas of the terminal in conjunction with corporate communications.
- Document and follow up on actions and decisions from meetings.
- Reception duties will include answering phones, receiving visitors, preparing meeting and training rooms, sorting and distributing mail, ordering office supplies and making travel plans.
- Support with billing for the terminal.
- Align and liaise with shared services administrators across DP World Canada which relate and provide support to the Prince Rupert terminal.
- Assist with gate release documents for required shipping lines and trucking companies.
- Work directly with couriers for shipping and receiving for all areas of the terminal.
- Provide support for other administration roles within the PR Admin team including safety, operations & maintenance.
- Member of the Social Committee.
Knowledge & Qualifications
Post-secondary training in business administration is an asset, combined with at least 3 years’ experience as an administrative assistant or coordinator in an office environment.Excellent communication and interpersonal skills, including the ability to build and maintain positive working relationships with all departments and levels.Sound judgement and analytical thinking that enables decision making.Exceptional time management skills and demonstrated ability to prioritize and complete assignments in a manner that effectively uses resources and optimizes departmental efficiency.Proven ability to handle confidential matters and materials with tact and discretion.Strong written and verbal communication skills.Advanced skills in Microsoft Office Suite including Word, Excel and Outlook, SharePoint and data management systems.Fluent in English.Previous Canadian work experience or experience working directly with Canadian industries.
