Position Summary :

The Registration Services Specialist plays acrucial role in the daily operations of the Office of the Registrar by servingand advising a large, diverse client base including current and prospectivestudents, external stakeholders, and college staff.

Key Responsibilities :

  • Responsible for processing registrations for new and returning students of all student types : Postsecondary, Apprentice, Tuition Short, Community Partnership, EAP students, Continuing Education, Dual Credit, sponsored students, and students with permanent disabilities (who may be eligible for reduced course load / tuition).
  • Responsible for maintaining the integrity of registration records and student data within the Student Information System (SIS), ensuring that all updates conform to audit of enrolment guidelines established by the Ministry of Colleges and Universities (MCU), as well as college policies, deadlines, and procedures.
  • Responsible for one or more specific portfolios, assigned on a rotational basis, in which the incumbent will be the subject matter expert and key contact for inquiries from students, staff, and / or third parties.

The incumbent independently manages processes related to their portfolio and prioritizes their own workload according to established deadlines / timeframes.

Deals with a large, diverse client base, often handling sensitive matters, and complex or escalated situations that were unable reach resolution in other areas of the college.

Leverages in-depth knowledge of systems, processes, and policies to respond to complex inquiries, suggest appropriate solutions, and advise on the best path forward.

Responds to a high volume of complex registration inquiries from a broad range of stakeholders, ensuring courteous and accurate information and advice is provided on a variety of issues;

uses sound judgement and diplomacy in communicating with current and prospective students, alumni, and third parties.

  • Provides advising on admissions / registration policies and processes for all programs offered by the College.
  • Other related duties as assigned.

Educational andExperience Requirements :

  • Three-year diploma or degree or equivalent from a recognized post-secondary institution in Business / Office Administration, Systems Analysis, Social Sciences or other related fields.
  • Minimum three (3) years’ recent experience processing complex and specialized information and providing guidance is required.

Must have practical work experience in a busy, fast-paced, deadline-driven, computerized customer service environment working with a variety of clients from varying social, academic, economic and cultural backgrounds.

Areas of expertise include knowledge of registrar’s office, college, and Ministry policies related to registration and enrolment reporting;

student advising; functional knowledge and experience with a Student Information System (SIS) is required.

  • Experience working independently, and as a team member; organizing, prioritizing and problem-solving own work and dealing with sensitive and confidential information in compliance with related policies and the Freedom of Information and Protection of Personal Privacy Act (FIPPA).
  • Advanced level experience using word processing, database and spreadsheet applications to produce a variety of correspondence, reports and presentations.
