We are looking for a Program Coordinator to support our Account Management team by keeping programs organized, on budget, and running smoothly.
Role Summary
The Program Coordinator is a critical support role responsible for day-to-day coordination of client programs. This role works closely with the Account Manager to manage supplies, track budgets, coordinate logistics, and ensure nothing falls through the cracks.
This is an ideal role for someone early in their career who is detail-oriented, coachable, and eager to learn how programs are run properly.
Key Responsibilities
- Program & Account Support
- Support the Account Manager in the execution of client programs from start to finish
- Assist with timelines, deliverables, and day-to-day program coordination
- Prepare program trackers, schedules, and status updates
- Ensure tasks are followed through and deadlines are met
Supply & Inventory Management
Manage program supplies, materials, and assetsTrack inventory levels and flag replenishment needs earlyCoordinate ordering, shipping, storage, and distribution of materialsMaintain accurate records of supplies by program and clientBudget & Cost Tracking
Support management of working budgets for assigned programsTrack expenses, POs, invoices, and receiptsUpdate budget trackers and flag variances or risks earlyWork closely with Account Managers to maintain cost controlOperations & Coordination
Liaise with internal teams, vendors, and suppliers as neededSupport logistics planning, scheduling, and executionMaintain organized program documentation (quotes, invoices, approvals, trackers)Assist in post-program wrap-ups and reportingWhat We’re Looking For
Skills & Experience
1–3 years of experience in coordination, administration, or operations (agency, events, retail, or program management is an asset)Strong organizational and time-management skillsComfortable working with budgets, spreadsheets, and trackersClear communicator who follows throughStrong attention to detailMindset & Fit
