We are presently accepting resumes for a full-time Scheduling Coordinator to work in our Accommodations program, working in both Barrie and Orillia. In this position you will support the Accommodations department in covering vacant shifts which occur on a daily basis, as well as completing administrative duties that support shift coverage and the program. This is a contract position working up to 37.5 hours per week until December 31st, 2024.
Compensation package :
- Minimum starting rate of $31.02 per hour;
- 11 statutory holidays are observed, with public holiday pay;
- 4% vacation pay paid on each pay cheque;

Minimum Requirements for this position include :
Post-secondary degree or diploma in Business Administration, Human Resources, or a closely related field; or a combination of education and experience which provides the required knowledge, skills and abilitiesA minimum of three years recent full-time working experience in administration, human resources with emphasis on experience utilizing a computerized scheduling system, and experience working in a unionized environment is an asset.Demonstrated excellent written, verbal communication and interpersonal skills with the ability to effectively collaborate;Above average attention to detail and accuracy, organizational and time management skills with ability to work under pressure and within tight deadlines;Demonstrated advanced computer skills, specifically, scheduling software, Word and Excel;Working knowledge of the Employment Standards Act and Occupational Health and Safety Act and ability to apply regulations as they pertain to scheduling;A background in supporting individuals with intellectual disabilities is an asset.Special factors of this position :
Ability to interpret two (2) collective agreements and apply the provision of these agreements as well as employment legislation, scheduling principals and ensuring employees are scheduled appropriately;Must be available to work between the hours of 7 : 00am and 5 : 00pm;A valid G class drivers license and own reliable transportation is required.From time to time must be available for shifts as assigned, outside of normal working hours;Motivated to keep up to date on technology and keep current on government legislation, Collective Agreements and Agency Standards of Practice.Duties and Responsibilities (including, but not limited to) :
On a daily basis, reviewing each group living and supported independent living locations to ensure adequate staffing is in place to support the needs of the program;Responsible for covering all shifts within the Accommodations program, which arise due to absences which may include, but not limited to, sick calls, emergency leaves, leaves of absence, weather, etc.;Liaison with Accommodations Supports and Services Supervisors, Supports and Services Liaison Supervisor, Scheduling and outside placement agencies to ensure shifts are filled;Notifying Scheduling and appropriate Supports and Services supervisor who has covered a shift to ensure employees are properly remunerated;Maintaining a tracking system that shows which staff have accepted replacement shifts and which staff have declined replacement shifts.Coordinating daily activities of the Scheduling Office : Sorting and classifying all incoming scheduling emails and actions non-union emails;Answering all scheduling phone inquires;Inputs all non- union scheduling changes i.e. last minute absences, flex time, sick time;Processes and advises supervisor / managers and staff by e-mail of the changes in a non-union database.Enters the mandatory training and orientation for all new hiresAssist with posts for Accommodation Services. Allocates shifts as per the CBAs, Occupational Health and Safety Act and Employment Standards Act : Ensures third party staff are booked and scheduled in the database and is tracked as per scheduling process, ensures all appropriate parties are advised of the shift coverageDevelops and maintains a list of suitably available, trained staff by location and maintain contact information, knowledge of status, qualifications and availability, in collaboration with the Scheduling Supervisors and the Supports and Services Supervisors.Review of all time off requests to ensure the employee has the time being requested in their time banks prior to forwarding request to Scheduling and Operations Supervisor i.e. vacation, comp, stat time etc.Performs any other duties and assignments as required by the Scheduling Supports & Services Manager.Empower Simcoe is committed to a diverse, inclusive, and equitable workplace where everyone feels respected and valued.
