Description

The Assistant Manager is an onsite leader that plays a key role in the delinquency and collection of rent to optimize the property’s cash flow and financial position.

You will be a pinnacle part in the property’s success by ensuring that the financial functions and day to day operations are running smoothly and efficiently.

The Property Manager will be reliant on this role to be their right hand in all things operations to ensure world-class service for our residents.

Essential Duties & Responsibilities :

  • Prepare and follow through with the monthly Accounts Receivable and N4 process.
  • Service notices of rent (or other) changes on time.
  • Assist the property manager in preparation of weekly and monthly reporting requirements
  • Responsible for helping property meet budgeted revenues, expenses, and Net Operation Income
  • Provide onsite leadership, guidance and coaching to organizational team members as necessary.
  • Assist with monthly payment runs as needed.
  • Act as a point of contact for residents and prospects.
  • Assist maintaining property and services by investigating and resolving resident inquiries, enforcing rules of occupancy, lease agreements and coordinating repairs as applicable.
  • Review tenancy documentation for accuracy.
  • Assist in the recruiting and interviewing process
  • Write up and file services requests from residents upon receipt, and take necessary steps to ensure timely response by appropriate staff
  • Maintain a positive presence within the community, establishing relationships with key community groups, businesses, and stakeholders
  • Support team in planning, promoting, and executing events to engage residents and create a sense of community.
  • Assist with supervising the maintenance staff in scheduling and, when necessary, directly scheduling property repairs with outside contractors as needed
  • Address complaints and resolve issues in a timely and professional manner
  • Assist with leasing responsibilities to maximize occupancy
  • Participate in quarterly property inspections as well as during move-in and move-out
  • Assist in maintaining key control of occupied and vacant units

Qualifications, Skills & Abilities :

  • A high school diploma or equivalent is required.
  • Previous experience in the multifamily property management industry; 2+ years student housing experience preferred.
  • Familiarity with the Landlord and Tenant Board and Residential Tenancy Act preferred.
  • Communication skills that foster an environment of connection and belonging, teamwork and productivity.
  • Knowledge of operation and financial concepts such as : budgeting, revenue, and NOI preferred.
  • Ability to create a respectful sense of urgency with rent collection
  • Impeccable attention to detail and strong organization skills.
  • A willingness to learn and an openness to feedback, coaching & mentorship.

Requirements : A Police Criminal Record Check will be required as part of the pre-employment process.

Working Environment :

Physical Effort : Long periods of sitting. Lifting up to 14 kg.

Physical Environment : Office

Sensory Attention : Extended periods of exposure to light from computer screen.

Mental Stress : Time sensitive responsibilities, requiring prioritization and time management. Interaction with internal and external stakeholders responding to issues and solving problems.

Time Requirements :

  • Full time, Monday- Friday
  • Some weekends & evenings may be required to accommodate for special events, projects, and student housing turnover
