Job Description
We are seeking a highly organized and service-oriented Receptionist/Administrative Assistant to support the daily operations of our office. This role is ideal for someone who takes pride in creating a welcoming and professional environment, enjoys supporting teams, and brings strong experience in office coordination and administrative support.
The successful candidate will be the first point of contact for incoming calls, visitors, and staff, ensuring a positive experience and smooth office operations.
Responsibilities
- Serve as the primary point of contact for visitors, clients, and incoming calls, ensuring a warm and professional reception experience.
- Maintain the overall appearance of the office, including reception, boardrooms, and common areas.
- Set up boardrooms for meetings, including meeting materials, technology checks, and layout arrangements.
- Coordinate catering and hospitality for internal and external meetings and special events.
- Manage incoming/outgoing mail and courier deliveries.
- Monitor and replenish office and kitchen supplies.
- Order and maintain office supplies, kitchen supplies, and inventory as needed.
- Support meeting scheduling, calendar coordination, and distribution of company-wide communications.
- Perform administrative tasks such as document formatting, filing, scanning, and data entry.
- Work closely with Finance & Administration on administrative tasks and office-related projects.
- Provide general support to staff, managers, and leadership as required.
Requirements
- Minimum 5 years of experience in a reception, administrative assistant, or office coordinator role.
- Strong telephone etiquette and excellent verbal and written communication skills.
- Proficient in Microsoft Office (Outlook, Word, Excel, Teams).
Qualifications
- Strong written and verbal communication skills
- Ability to multitask and prioritize effectively
- Experience in an engineering consulting firm is a definite asset
- Ability to pass background check
- Customer-service driven, professional, and approachable.
- Highly organized, detail-oriented, and able to manage multiple priorities.
Working Conditions
- Full Time 40 hours per week
- Ability to lift or move supplies (approximately 25 pounds) as needed for office setup and events.
- Our team works primarily full-time from our office. This role is expected to be present at our Reception Desk during our office hours (8:00am to 5:00pm with an hour break at lunch).
