We are looking for a full-time Customer Service Administrator to join our Hamilton office. About Wilson Blanchard:

Wilson Blanchard Management, An Associa® Company, is comprised of Condominium Managers, Condominium Administrators, and Accounting Administrators. Along with our dedicated support team, we are committed to delivering exceptional service to over 42,000 condo unit owners daily.

Responsibilities:

Perform all administrative duties including:

    • Preparation and distribution of correspondence, including but not limited to, rule infractions letters, site inspections, manager’s reports, budgets, minutes, notices, AGM notices, forms and filing of documents.
    • Greet incoming telephone callers, attempt to assist and if unable to resolve direct calls to the appropriate person/department.
    • Utilize and keep updated the preferred method of tracking tasks and assigned work.
    • Electronically file all documents in the appropriate corporation folders in the network. Name all documents in accordance with WB’s electronic document policy.
    • Prepare and update after-hour emergency (data/building contact) information sheets for the building, i.e. Board member names, phone numbers, contractor names and phone numbers etc.
    • Report concerns, complaints or inquiries received from residents to the Manager.
    • Co-ordinate and book the use of any amenities including elevator, party room, guest suites, etc., as well as collect any fees/deposits for same.
    • Assign locker keys, key fobs or access cards, and remote controls, etc., as well as administer the records for them and receiving a deposit if required.
    • Assist in the preparation for the AGM’s, such as notices, day of preparations
    • Communicate and enforce the Condominium Act, Declaration, By- Laws and Rules under the direction and guidance of Managers.
    • Establish, organize and maintain computer records management/file systems.
    • Provide back up for reception as requested/required. This consists of answering phones, and directing calls to the appropriate person, answering emails, processing mail and uploading invoices into our accounting system.
    • Other duties as assigned.

Requirements

    • High-school diploma, GED or other equivalent
    • Able to effectively communicate both verbally and in writing.
    • A well-defined sense of diplomacy, including conflict resolution, and people management skills
    • Computer literacy, including effective working skills of MS Word, Excel and e-mail required
    • Able to build and maintain lasting relationships with applicable departments, contractors and key business partners
    • Ability to follow through and complete overlapping projects
    • Excellent organizational, time management and prioritizing skills
    • High level of critical and logical thinking, analysis, and/or reasoning to identify underlying principles, reasons, or facts
    • Ability to interpret and implement company policies and procedures
    • Effective communication skills with individuals at all levels of the organization
    • Other duties as required/assigned

Pay: CA$40,000.00 - $45,000.00 per year
