The Opportunity :
The Payroll Coordinator is responsible for the timely and accurate processing and transmission of payroll for the M&M Office and PRBC Union and Non-Union employees. Payroll currently includes bi-weekly hourly and salary payroll for employees and variable compensation programs. In addition to the preparation of payroll, responsibilities also include payroll accounting tasks, monthly auditing requirements, monthly balancing T4 / PD7A, collective agreement knowledge and various reporting requirements. A high level of confidentiality is expected in this role.
Responsibilities : Payroll Processing
Subject matter expert for union and collective agreement in our Kronos system.Responsible for preparing, collection, verifying, processing, balancing, and auditing bi-weekly payrolls for salaried and hourly employees in BC following established collective agreements, provincial and federal legislation. (approx. 500 employee).Calculating and processing gross to net, retroactive pay, vacation pay, overtime, banked time, severance, bonuses, shift differential and deductions such as garnishments, parking, union dues.Verifies auto timesheets are calculating correctly, missed punches are fixed, and approvals completed for time and PTO requests and exception entries, all within the specified payroll processing deadline. Works closely with timekeepers on the union entries.Auditing payroll processing for errors and making required changes.Responsible for bi-weekly salary payroll from start to finish for M&M, mainly in Ontario (approx. 100 employee).Responsible for PTO plan maintenance and reporting.Responsible for entering data for employee such as new hires, ROEs, terminations, transfers, reclassifications, promotions, etc. (employee full life cycle).Identify and resolve discrepancies through checks, auditing and adjustments to reconcile payroll utilizing reports from payroll, UTM, benefits, etc.Liase as required with department managers and P&C teams to clarify or request further information for payroll cycle to complete duties as required, following auditing requirements.Responsible for processing off cycle payments for terminations and employee leaves.Answering questions and resolving issues regarding payroll with internal and external stakeholders.Work with Ultimate support when necessary (create cases).Work closely with Finance to reconcile accounts (GL) related to payroll for PRBC and M&M.Create and analyze payroll reports for Management, Finance and auditing purposes.Ensure that all necessary government filings and remittances relative to payroll are made in a timely manner including, but not limited to CRA remittances, union dues, pension plan payments, and garnishments.Problem solving issues that are not routine and / or complex and require further investigation.Perform other related duties as required.Other Duties
Sunlife bi-weekly share and pension purchase.Auditing / Year End.Monthly balancing of PD7A (Receiver General) for 2 companies.Monthly balancing of T4 / W2 for 2 companies.Responsible for 2 companies year end reconciliation of all T4.Responsible for gathering and entering any adjustments required (Vehicle Tax Ben, LOA Tax Ben, Wellness Tax Ben).Works closely with HRIS Manager to finalize and submit year end documents to the required government agencies.Company wide data integrity analytics on a monthly basis.Various Projects
Backup Payroll Coordinator / Administrators for CDN payroll.Backup Payroll Coordinator for Monthly Auditing.Backup Payroll Coordinator for Annual T4 / T4A / RL1 Adjustments / processing.Assist in processing the annual AIP bonuses.Assist in processing the annual Merit increases.Union additional payments (Feb 1 increases, April Vacation payments, Banked overtime payments, reporting of union dues, union meetings, etc.).Responsible for ad-hoc projects and implementations for payroll processes, systems or policies.Education :
Post-secondary education in administration, business, or human resources is requiredPCP or CPM designation is a requirementRequirements :
Minimum of 5 years’ experience in a multi provincial payroll for large organization.Strongly proficient in MS Word, MS Outlook, and spreadsheet / database (MS Excel).Experience in implementing new payroll processes or driving payroll efficiencies is an asset.Experience with configuration and use of UKG is preferred, or similar payroll system.Experience with union payrolls an asset.Excellent communication skills both verbal and written to interact at all levels of the organization and external stakeholders.Strong analytical ability.Demonstrates the utmost professionalism in dealing with confidential matters.Ability to manage a variety of projects under pressure and tight deadlines.Knowledge of payroll compliance, provincial and federal employment legislation for Canada.Superior time management skills, multitasking skills, and the ability to prioritize tasks with minimal supervision.Strong attention to detail.Excellent analysis and problem-solving skills.Ability to work independently as well as in a dynamic team environment.Humble.
