Thompson Collision & Glass has an immediate opening for an experienced Administrative Assistant to join our successful dealership. Summary:
Reporting to the Body Shop Manager, the Administrative Assistant is responsible for excellent customer experience for the dealership. As the face of the company, the individual in this role must thrive in a fast-paced, customer centric role where effective communication, organization and ensuring strong administrative skills are required.
Job Responsibilities:
Developing and maintaining relationships with customers to exceed customer expectations and build customer loyalty
Greeting customers and visitors ensuring optimum customer service, displaying a great first impression of the Collision Centre
Answering and directing a high volume of phone calls through a multi-line switchboard and ensuring messages are delivered to the respective parties, using a courteous telephone manner
Intake customers dropping off for collision and glass repair
Create MPI glass claims and process
Schedule customers for repair and estimates
Monitor the process of each vehicle throughout the day and updating customers
Acting as liaison between customer and technicians, managing the status of work orders
Reviewing claims for sourcing proper parts, when required
Assisting with the coordination of the daily traffic
Providing detailed administrative support and performing various clerical tasks which include but are not limited to typing, filing, maintaining service logs, and data entry
Reconciling cash drawers daily
Maintaining the housekeeping of the office area ensuring maintenance issues are reported immediately
Maintaining a positive working relationship with team member and management in a team environment
Additional duties as assigned by management.

The Ideal Requirements:
Exceptional organizational skills and the ability to work on multiple projects in a fast-paced environment
The ability to be assertive as required in order to ensure adherence to schedules and timelines
Demonstrated critical thinking skills and comfort researching and gathering information from various sources
Customer focused individual
Strong teamwork skills as well as the ability to work independently
Proficient with computers
Prior administrative experience, working with the public and balancing a till
Ability to manage and balance daily cash reconciliation
Basic bookkeeping tasks may be required
Collision Centre experience considered an asset
Positive energy and eagerness to provide excellent customer service
Professional work ethic, consistent, professional dress and manner
Excellent written and verbal communication skills, on the phone and in person
Willingness to learn the business and grow in the company
A valid Driver’s License
