Annual and Leadership Giving Coordinator, Annual Giving, VP Development and Alumni
We are seeking a Full‑time Staff Limited Term Annual and Leadership Giving Coordinator for approximately two years to support the Office of Principal Gifts and Strategic Donor Engagement within the VP Development and Alumni at the University of Calgary. The University is located in Canada’s most enterprising city and is a leading research university with a vibrant community engagement profile.
Overview
The Development and Alumni team bridges the University with donors, alumni and community members. This role will support the Annual and Leadership Giving (ALG) and Donor Engagement (DE) teams by managing donor data integrity and executing routine data tasks that enable strategic outreach and stewardship. You will ensure that gifts are accurately coded, donor records are properly maintained following campaigns and communications, and data exports are delivered with precision and timeliness.
Summary of Key Responsibilities
- Ensure gifts are properly coded to appropriate appeals for accurate tracking and reporting.
- Support post‑appeal and post‑communication donor record management, including handling email updates, employer changes, duplicate record merging, nickname updates, spouse and organizational linking, and subscription preferences.
- Maintain accuracy and completeness of designation information for ALG appeals and related initiatives.
- Submit bulk upload tickets for quarterly engagement reporting (e.g., ThankView, calling, storytelling profiles).
- Review and validate data lists for email, direct mail, calling efforts, stewardship outreach, and other communications, ensuring accuracy, proper formatting, and correct export fields.
- Own the tribute letter program.
- Support the ALG team by confirming and standardizing criteria across all ALG‑specific reporting tools and developing clear documentation.
- Execute timely touchpoints in the first‑time and recurring donor journeys.
- Collaborate with teams across campus to develop and implement automated donor journeys for first‑time and recurring donors.
- Utilize drip marketing where appropriate across email, text, and social media to build and strengthen donor relationships over time.
- Pull data to support team strategy and reporting, including donor journey touchpoints, appeals, and new initiatives.
- Define invitation and attendee list criteria in collaboration with Events and Experience Manager, Development Strategist, and Advancement Data to generate accurate, segmented lists.
- Manage event registration systems, including overseeing RSVP collection, attendee data import / export, and maintaining a comprehensive master attendee list that is consistently verified, cleaned, and kept up to date.
- Submit and manage bulk upload tickets for event‑specific engagement reporting tracking.
Qualifications / Requirements
Post‑secondary education and 3+ years of experience in a data‑focused environment where CRM systems are integral.Proactive initiative and entrepreneurial thinking to improve processes and develop new systems.Openness to learning and willingness to accept new challenges and assignments.Ability to input information accurately and efficiently into data systems, with a strong understanding of effective contact data collection and email list management.Exceptional accuracy and attention to detail, with a commitment to organization and process improvement.Strong computer skills, including database / information management and experience using Blackbaud (or similar CRM) and Microsoft Office applications.Proficiency in Microsoft Excel.Comfortable with CRMs and spreadsheets, motivated by enabling strategic donor engagement through clean and reliable data.Skilled in higher‑level data functions, including complex queries, exports, imports, reports, and mail merges.Excellent verbal and written communication skills, with the ability to prepare reports, documentation, and correspondence thoroughly and accurately.Strong customer‑service attitude and investigative approach to collaborating with colleagues and responding to inquiries.Collaborative nature with openness to new ideas and feedback.Ability to remain positive and confident under pressure and interact professionally.Outcomes‑focused with strong project management skills.Experience in annual giving, donor relations, and understanding of post‑secondary environments are assets.Application Deadline : January 13, 2026.
