As a Business Coordinator for Planning and Development Services, you will provide advisory and operational support to the Executive Advisor within the business unit, ensuring that the complex, evolving, and fast-paced needs of the Director's Office are met. Primary duties include:
- Assist the Executive Advisor in monitoring and analyzing emerging reputational, political or operational issues, providing research-based recommendations to mitigate risks and support decision-making.
- Support the development of process improvements, efficiencies, and strategic solutions that align with Council direction and comply with regulatory and legislative requirements.
- Prepare and review reports, presentations, and updates for Council, senior leadership, and external partners.
- Collaborate with external agencies, industry representatives, and government partners to ensure City planning initiatives are effectively communicated and executed.
- Coordinate and analyze departmental reporting for the Director's office, preparing risk monitoring, resource utilization reports, presentations, and documentation to support leadership decision-making.
- Assist in developing and refining performance measures, tools, and processes, while assessing and enhancing resource management to recommend operational improvements.
Qualifications - A degree in Business Administration or a related field.
- At least 3 years of related experience, including experience coordinating projects with diverse audiences and a formal understanding of municipal governance and operational processes.
- Knowledge of project management principles and techniques is required.
- Experience with the Access to Information Act (ATIA) and the Protection of Privacy Act (POPA) is an asset.
- Intermediate proficiency in Microsoft Office, SharePoint, and Adobe Acrobat Pro, along with experience using Escribe meeting software, Content Server, and PeopleSoft Financial Supply Chain Management (FSCM) is an asset.
- Success in this position requires effective communication and interpersonal skills, excellent organizational skills, critical thinking, a high attention to detail, and the ability to prioritize and manage multiple tasks and projects simultaneously.
