POSITION OVERVIEWReporting to the Director of Athletics, the Sports Information Coordinator promotes Providence Athletics to internal and external audiences.
The position is essential in meeting Providence’s varsity athletics media, webcasting and reporting requirements to the Manitoba Colleges Athletic Conference (MCAC), Canadian Collegiate Athletics Association (CCAA) and National Christian College Athletics Association (NCCAA).
The coordinator oversees all aspects of media responsibilities, including the Providence Pilots social media channels, website, livestream, and post-event reporting.
This position requires a creative thinker who possesses an exceptional ability to plan strategically and execute a plan tactically.
This incumbent’s responsibilities include writing, photography, videography, media relations, and content creation. The successful candidate needs to have a strong understanding of the landscape and language of college athletics, particular to the sports of soccer, basketball and volleyball and take the lead on all communications requirements for conference and national championships.
Additionally, they will require the ability to recruit, train and oversee a small staff of communications-related employees, mostly students, in collaboration with the Athletics Events Coordinator.
SUMMARY OF DUTIES AND RESPONSIBILITIESWEBSITE AND SOCIAL MEDIA Responsible for all creative content posted to the Providence Athletics website and social media outlets to ensure accuracy of information (team rosters, head shots, news, etc.
and working to improve and enhance Providence Athletics’ web presence.Provide leadership to team-run social media accounts to create consistency of look and voice, promoting growth and engagement.
ENGAGEMENT Develops a communications strategy for the department to broaden the reach of Providence athletics, for greater engagement with the community, in-person and online.
PRINTING Responsible for the creation and production of all athletics publications and media content, including print materials and digital designs.
WRITING Responsible for writing event previews, recaps, feature stories highlighting Providence athletics programs and game day public address scripts.
PHOTOGRAPHY / VIDEOGRAPHY Responsible for capturing images / video and archiving photos for all Providence Pilots home competitions.
Schedule and capture media day photo shoots for teams, coaches, staff and student-athletes. MEDIA RELATIONS Supports and provides content to media, as requested, and acts to promote Providence athlete and coaching successes to a wider audience.
Coordinates media availability for Providence student-athletes and coaches as requested, both in and outside of events. LIVESTREAM Responsible for the overall production of game day video livestream and recording.
MANAGING CONTRACTED SUPPORTS Recruits and establishes contracts with professional communications support. This could include video production professionals, game commentators, announcers, livestream production, etc.
In addition, manage all Providence Athletics media-related subscriptions. MARKETING Co-develops brand guidelines for the Providence Pilots.
Ensures that all department activities including website, social media, publications, signage, etc., follow these established policies and those that already govern marketing for Providence University College.
DEPARTMENT MEETINGS Actively participates in all Athletic department meetings. COLLABORATION & RELATIONAL COMMITMENTS Maintain positive, collaborative working relationships with all Providence athletics staff, Providence staff & faculty, and external partners.
Aspire to establish and maintain positive, respectful relationships with opposing coaches, athletic department staff, referees, and all game day staff.

CONSEQUENCE OF ERROR / JUDGEMENT This position requires a high degree of judgment, tact, discretion and initiative. The work and decisions of the Sports Information Coordinator has a direct and critical impact on the reputation and effective operation of Providence Athletics and Providence University College.
Poor decisions or judgment will result in damage to the department reputation, student athletes, varsity teams, coaches and Providence’s standing within the community at large.
All information must be accurate and provided in a courteous, respectful, timely and supportive way. EDUCATION & QUALIFICATIONS Undergraduate degree in a relevant discipline.
Minimum two years of related experience, or the equivalent combination of education and experience.Strong leadership, organizational, planning and time management skills are required.
Demonstrated self-starter.Proven oral and written communication and editing skills.Strong command of the English language and writing skills.
Proficient with digital media equipment with experience in sport photography.Demonstrated accuracy and strong attention to detail.
Strong understanding or ability to quickly grasp communication programs and website platforms.Experience in webcasting / livestream would be considered an asset.
Ability to exercise judgement, tact, confidentiality, and discretion when dealing with sensitive matters.Ability to take initiative, analyze problems, identify key information and issues, and effectively resolve them.
Demonstrated ability to prioritize work, multi-task and work under pressure to meet deadlines in a fast-paced environment.
Ability to train and oversee a small staff of student employees.Strong interpersonal and relationship management skills.Ability to work effectively independently and in a team environment, and to bring energy, motivation and enthusiasm to the job.
Proficiency with Microsoft Office (Word, Excel, and PowerPoint) is required.Proficient with Adobe Suite programs (e.g. Photoshop, Premiere Pro, InDesign).
