About the Role
St. Paul’s Hospital physician is seeking a dedicated and detail-oriented Medical Office Assistant (MOA) to join our dynamic ENT (Otolaryngology) clinic team. As an MOA, you will play a key role in supporting physicians and patients, ensuring the smooth and efficient operation of the ENT clinic. You will be the first point of contact for patients and be responsible for a wide range of administrative and clinical support duties. Must be very good with patients, demanding or calls, using Alexia as EMR system.
Key Responsibilities
- Greet and register patients, ensuring accurate demographic and health information is collected.
- Schedule and confirm patient appointments, including consultations, procedures, and follow-ups.
- Answer phone calls and manage electronic communications (emails, faxes) in a professional manner.
- Prepare and maintain patient charts and medical records (EMR experience required, preferably with Plexia.
- Assist ENT physician with clinical documentation, requisitions, referrals, and correspondence.
- Coordinate diagnostic tests, referrals, and surgical bookings in collaboration with hospitals and external facilities.
- Process billings, insurance forms (MSP), and maintain accurate financial records.
- Maintain inventory and order medical and office supplies as needed.
- Uphold patient confidentiality and clinic policies in all interactions.
- Punctual and reliable.
Qualifications
Medical Office Assistant Certificate from a recognized institution.Minimum 1–2 years of experience in a medical office, ideally in a specialty clinic (ENT experience preferred).Proficiency in electronic medical records (EMR) systems; experience with Meditech / CST is a strong asset.Excellent communication, interpersonal, and organizational skills.Ability to multitask and work independently in a fast-paced clinical environment.Strong understanding of medical terminology and clinical procedures relevant to ENT.Knowledge of healthcare billing practices (MSP, OHIP, private insurers).CPR / First Aid certification is an asset.Pay range and compensation package
$24-$30 salary or hourly depending on experience.
