KlariFi Bookkeeping & Tax is a growing Canadian firm providing bookkeeping, tax, and payroll services to small businesses nationwide. As we continue to grow, we’re looking for a highly organized, proactive Administrative Assistant to support our team and leadership on-site.
The Role
As our Administrative Assistant, you’ll play a key role in keeping our office running smoothly while also supporting senior leadership with select executive-level tasks. This role is ideal for someone who thrives in a fast-paced environment, enjoys wearing multiple hats, and takes pride in being a reliable point of support for both clients and internal teams.
This is an on-site position and requires a strong in-office presence.
Key Responsibilities
Administrative Support
- Greet clients and visitors and act as a professional first point of contact
- Manage incoming calls, emails, and general inquiries
- Maintain office organization, supplies, and shared resources
- Assist with scheduling, calendar coordination, and meeting preparation
- Support document preparation, filing, and record management
- Assist with internal processes, forms, and basic data entry
Executive & Leadership Support
Provide administrative support to senior leadership as neededAssist with travel planning and arrangements (flights, hotels, itineraries)Help coordinate leadership meetings, agendas, and follow-upsPrepare basic reports, presentations, or correspondenceHandle confidential information with discretion and professionalismClient & Team Coordination
Assist with client onboarding logistics and administrative follow-upsSupport internal teams with scheduling, coordination, and task trackingHelp ensure smooth communication between departmentsWhat We’re Looking For
2+ years of experience in an administrative, office support, or executive assistant–style roleStrong organizational and time-management skillsExcellent written and verbal communication skillsHigh attention to detail and ability to manage competing prioritiesComfortable working with technology (Microsoft Office, Google Workspace, calendars, document management tools)Professional, proactive, and dependableAbility to maintain confidentiality and exercise good judgmentExperience in a professional services environment (accounting, finance, legal, or consulting) is considered an asset but not required.
