What is the Opportunity?

The TD Programming and Logistics Coordinator will work with The Royal Conservatory’s Performing Arts team to develop skills related to large-scale concert programming, contracting, and advancing concerts with artists.

This will include supporting RCM’s Executive Director of Performing Arts, Programming Manager, and Concerts & Special Projects Manager with the setup and execution of The Royal Conservatory’s 2024.25 Concert Season.

The TD Programming and Logistics Coordinator will develop a range of skills related to concert programming, from contracting artists to advancing concerts and collecting artist assets.

They will also participate in the various grant cycles from government funders such as Toronto Arts Council, Ontario Arts Council, and the Department of Canadian Heritage, in addition to being included in ticketing and box office, fundraising, and marketing efforts.

Main Duties & Responsibilities

  • Assist the Executive Director and Programming Manager with identifying and researching potential concert artists
  • Assist with developing concert by concert and full season budgets
  • Participate in fundraising strategy meetings with Development staff
  • Participate in marketing strategy meetings with Marketing and PR staff
  • Assist with advancing concerts by liaising with local and international artists, agents, and tour managers to gather artist assets such as payment details, travel info, programme notes, biographies, and promotional photos and videos, as required.
  • Manage Prelude and Postlude artists on concert nights
  • Assist with drafting payment requisitions and generating contracts for local artists, as required.
  • Assist programming team on concert days by liaising with artists upon arrival, attending rehearsals, attending and assisting with donor events
  • Assist with the preparation and proofreading of grant materials.
  • Contribute to proofreading efforts of marketing materials to ensure content accuracy.
  • Liaise with community partners and outreach initiatives.

Job Requirements

What We're Looking For

  • 2-3 years of live music industry experience (festival, performing arts centre, independent promoter, club or university presenting team).
  • Post-secondary education at a university or college, an asset if the area of study is relevant to the performing arts or arts administration.
  • Willingness and ability to work effectively under pressure and respond nimbly to deadlines, able to perform well in stressful situations.
  • Careful, diplomatic and highly organized with problem-solving skills.
  • Excellent verbal and written skills.
  • Good negotiating skills, comfortable being assertive.
  • Team-oriented with an ability to work independently in a self-directed role.
  • Strict attention to detail.
  • Capable of prioritizing effectively, multi-tasking and escalating where necessary.
  • Some experience in hospitality industries is a plus.
  • Passion for and knowledge in live music including classical, jazz, roots and global.

Salary

$35,000 for a 9.5-month full-time contract.

Additional Information

  • The contract is from September 3, 2024 to June 13, 2025.
  • Willing and able to support long shifts on concert days, involving extended and irregular hours common to working in the Performing Arts, especially throughout the concert season.
  • Extensive PC use to support administrative activities.
  • Long periods of intermittent standing or sitting based on prevailing activities (i.e. deskwork or attending events).
  • Able to provide on-call support as required.
