The Role
The Project Coordinator acts as the primary point of coordination for made‑to‑order manufacturing projects, supports Project Managers on engineered design and supply initiatives, and may be responsible for coordinating and delivering smaller projects independently.
What You Will Do
Key responsibilities across each project phase include, but are not limited to :
Preliminary :
- Provide support in the creation and review of project quotations within the ERP system, including preparation and submission of proposals.
Initiation :
Review purchase orders against approved proposals to ensure alignment with project objectives, feasibility, contractual terms, and defined scope.Complete and coordinate required internal approvals in accordance with organizational policies and governance processes.Planning :
Create and set up projects within the ERP system in accordance with approved scope and governance requirements.Establish and maintain forecasted project budgets throughout the project life cycle, in collaboration with the Project Manager, Estimating, and Sales teams.Manage and maintain project‑related documentation to ensure accuracy, version control, and accessibility.Execution :
Track project activities against scheduleCoordinate task assignments and follow up on action itemsSupport in resolution of scheduling conflictsServe as communication link between project manager, team members, and stakeholdersDistribute project updates, meeting notes, and status reportsMaintain project documentationEscalate concerns to the project manager as neededTrack change requests while maintaining an accurate forecast within the ERP systemSupport audits or reviews during executionCollect progress updates from team membersIdentify variances in scope, schedule, or risk to cost overrunsSupport corrective actions to keep project on trackMonitoring and Controlling :
Track schedule, cost, scope, and deliverables against the project planMonitor mitigation actions and due datesTrack approvals, rejections, and implementation statusMaintain compliance with organizational requirementsCloseout :
Ensure deliverables are finalizedVerify documentation is completeAssist with closing vendor contracts and confirming final invoicesSupport reconciliation of project costs and budgetsCoordinate lessons-learned sessions or surveysDistribute final project status or closure reportsVerify all administrative tasks are completedKnowledge & Qualifications
Bachelor's degree in Business Administration, or Project Management, or Engineering or any related field is preferred.3 or more years minimum experience in a project support or administrative coordination role.Requirements and skills
Proficient in communication in English, both in speaking and writingExperience with Microsoft Dynamics ERP system is considered an assetFamiliarity with the controls, documentation, and reporting requirements of a publicly traded company environment is an assetExposure to projects within the Oil & Gas and or petro-chemical industries is considered an assetPMP or CAPM certification, or progress towards certification, is considered an asset.
