We are hiring an Administrative Assistant to join our team! This full time position is based in Bedford, Nova Scotia.

Your role within the team :

  • Format, edit, proofread and distribute outgoing correspondence, reports, proposals, and other documents according to company templates and standards.
  • Prepare and distribute agendas, notes, PowerPoint slides, and other material needed prior to meetings; record, prepare and distribute meeting minutes.
  • Classify documents related to projects according to the established document control procedure.
  • Respond to both telephone and email queries and direct clients to the appropriate individual as required.
  • Organize and set up conference calls, video conferences, meetings, catering; arrange the scheduling, invitations and confirmation of meetings.
  • Ensure sufficient office supplies are maintained including filing systems for correspondence and other communications both incoming and outgoing.

The Ideal Candidate :

  • Minimum 2 - 4 years of previous experience working in a large office or project environment in a related role.
  • Advanced proficiency in Microsoft Office Suite including Excel, Word, PowerPoint and Adobe Acrobat; along with excellent formatting experience.
  • Ability to balance priorities while meeting deadlines and remaining detail oriented ensuring accuracy
  • Self started with excellent time management and organizational skills
  • Strong oral and written English language communication skills, bilingualism in French is an asset but not required.
