Position Summary
The HR Coordinator supports the day‑to‑day administration of human resources, employee documentation, and internal systems that enable efficient and compliant people operations. This role is responsible for coordinating onboarding and offboarding, maintaining employee records, supporting HR and safety systems, assisting with policy development, and providing front‑desk administrative support at Head Office. Reporting directly to the Chief of Staff , the HR Coordinator works closely with leadership, safety, operations, and finance teams to ensure HR processes are organized, accurate, and scalable as the company grows.
Key Responsibilities
Human Resources & People Operations
- Coordinate employee onboarding and offboarding, including documentation, system access, orientation support, and tracking
- Maintain accurate and up‑to‑date employee files and records in accordance with company and legislative requirements
- Support employee lifecycle changes such as role changes, promotions, and terminations
- Prepare HR correspondence, letters, forms, and internal communications as required
- Respond to basic HR‑related employee inquiries and elevate matters when appropriate
Policy & Compliance Support
Assist with drafting, editing, updating, and organizing HR policies and proceduresSupport policy implementation and ensure policies are properly stored, version‑controlled, and communicatedAssist with compliance tracking and internal audits related to HR and safety documentationHR Systems, Document & Safety Administration
Organize and maintain HR and safety systems to support scalability, efficiency, and compliance, including BambooHR, SharePoint, and WorkhubEnsure employee documentation, training records, certifications, and required forms are accurately uploaded, stored, tracked, and maintainedSupport the creation, organization, and ongoing maintenance of Workhub onboarding content, training modules, and role‑specific learning materialsAssist with safety administration in collaboration with the Health & Safety team, including documentation management, record tracking, and compliance supportSupport system clean‑ups, audits, reporting, and continuous improvement initiatives across HR and safety systemsAssist with HR reporting, tracking, and administrative data requests as requiredOffice Administration & Safety Support
Act as the designated Fire Warden for Head Office and support related safety coordinationProvide front‑desk and reception support, including greeting visitors and managing general inquiriesSupport administrative tasks for the Chief of Staff and leadership team as neededQualifications & Experience
1‑3 years of experience in an HR, People & Culture, or administrative support rolePost‑secondary education in Human Resources, Business Administration, or a related field is an assetExperience supporting onboarding, offboarding, and employee documentationFamiliarity with HR systems and document management platforms; experience with BambooHR, SharePoint, or Workhub is an assetStrong organizational skills and attention to detailAbility to handle confidential information with professionalism and discretionStrong written and verbal communication skillsKey Competencies
