The role :
As an Office Assistant you’ll play a crucial role in ensuring that office operations run smoothly. Acting as the link between management, employees, clients and vendors.
As an Office Assistant you’ll gain exposure to a variety of roles and departments.
Typical responsibilities include :
- General Office Duties : Answering phone calls, responding to emails, maintaining office supplies, filing documents, photocopying, faxing, and mailing.
- Scheduling and Coordinating : Managing calendars for one or more managers, schedule meetings and appointments, and coordinating travel arrangements.
- Record Keeping : Maintaining records, databases, and filing systems, whether electronic or paper.
- Document Preparation : Preparing memos, invoices, reports, and other office documents. This includes proofreading documents for grammar, spelling, and punctuation errors.
- Meeting Preparation and Follow-up : Set up meeting rooms, prepare agendas, take minutes during meetings, and ensuring that follow-up actions are taken.
- Customer Service : Act as the first point of contact for clients, vendors, and other external partners. Greeting visitors, answering questions, and resolving issues.
- Supporting Other Staff : Assist other office staff with their tasks, which can vary widely depending on the nature of the office and the specific job.
- Financial Tasks : Administrative assistants might also assist with basic financial tasks such as invoicing, budget tracking, and expense reports.
Requirements :
- Previous office / administrative experience is required
- Quick learner capable of meeting strict deadlines
- Exceptional attention to detail and punctuality
- Team player with the ability to work independently
- Excellent customer service and communication skills
