Position Summary
Reports to : Membership Manager
Reporting to the Membership Manager, the Branch Coordinator is responsible for providing guidance, coordination, and administrative support for APEGA’s ten Branch regions to strengthen regional registrant support, and to help build registrant and public trust through community outreach and consistent communication. This includes providing training and guidance to members, staff, and stakeholders across Alberta.
Responsibilities
- Assisting branch executives and volunteers with planning, governance, and volunteer engagement activities.
- Building strong, productive and respectful relationships with branch executive members.
- Providing leadership, guidance and ongoing feedback to Branch Executive members using tact and diplomacy.
- Ensuring Branch initiatives are aligned with APEGA\'s Strategic Plan (providing support, guidance, and suggestions).
- Resolving conflicts and working closely with branch executive members to identify issues early and to help mitigate their impact.
- Serving as the primary point of contact for information flow between APEGA and its local branches.
- Ensuring branches receive regular and consistent information about APEGA priorities, news, and updates, along with supporting resources to share the information with branch volunteers and registrants.
- Capturing feedback from branch volunteers to share with APEGA teams to provide regional perspectives for APEGA planning.
- Liaising with branch executive volunteers on designing, planning and executing branch events that increase registrant engagement, as well as awareness and understanding of APEGA among registrants and key stakeholders in the community. Events have included professional development seminars (working closely with APEGA’s Career Development team), webinars, luncheons, golf tournaments, and networking events.
- Leading branch executive members in identifying and creating new events and opportunities in branch regions that are aligned with APEGA's strategic priorities.
- Coordinating logistics for Branch events including (but not limited to) liaising with internal departments, internal / external vendors, OH&S safety measures, and track registration and appropriate statistics.
- Ensuring that APEGA is represented in a positive and professional manner to all stakeholders and provides a consistent source of information for all external parties.
- Demonstrating APEGA's commitment to input by soliciting feedback from all stakeholders (including Branch executives, members, permit holders, applicants, third-party vendors, sponsors, staff, and the public).
- Coordinating logistics and attend meetings with Branch executives to facilitate peer-to-peer learning, organizational standardization, and informal mentorship. Including (but not limited to) : monthly executive meetings, Branch Chair Meetings, Branch Orientation, etc.
- Collaborating with other branch coordinators, the broader Outreach & Product Services team and other APEGA teams to support APEGA priority outcomes through branch events and initiatives.
- Coordinating the recruitment, onboarding, off-boarding, and selection of new branch executives to facilitate the transfer of knowledge from one year to the next. This includes creating volunteer position descriptions, applications, vetting, and appointment of volunteers. Facilitate branch volunteer growth and development opportunities, including opportunities to attend Council meetings.
- Providing day-to-day Branch Administrative support to ensure that Branch processes, events, projects, and communications are consistent, timely, and transparent across the province.
- Scheduling and preparing agendas, presentations, and interactive activities for quarterly Branch Chair Meetings and annual Branch Orientations.
- Creating and maintaining an internal Branch Event Calendar through the Master Calendar to provide visibility and improve communication across the organization.
- Be the main point of contact for Branch events (including luncheons, webinars, Professional Development, etc.) by responding to inquiries, informing relevant APEGA staff with information about the event, overseeing registration, ensuring the adherence to OH&S safety measures, and providing support for issues as they arise.
- Training and assisting Branch Treasurers to create and maintain accurate financial tracking and budgeting tools and reports
- Training and assisting Branch Chairs to create and maintain business plans which align with APEGA’s strategic priorities and actively engage local members.
- Collaborating with the Communications Department to plan, schedule, and implement branch-specific advertisements, newsletters, and notices.
- Collaborating with the Outreach Department to organize branch-led outreach events and provide support including (but not limited to) volunteer recruitment and training, sponsorship, venue selection.
- Compiling metrics from Branch events to report trends to the Membership Manager
- Assisting the Outreach and Product Services team to support the success and improvement of all portfolios.
- Actively participate in researching, developing and implementing Outreach and Product Services initiatives.

Post-secondary diploma in related field.3-4 years of administrative and / or coordinator experience.Experience must include event coordination combined with administrative support responsibilities (agenda preparation, calendar management, OH&S guidelines, etc.).Volunteer management experience is considered an asset.Valid driver’s license and vehicle will be required to travel to branches and events throughout Alberta will be required.Equivalencies may be considered.Closing Date : Until successful candidate is found
