Job Title : Administrative Assistant II

Job Summary
The Administrative Assistant II plays a key role in supporting the efficient day-to-day operations of the regional team through proactive administration, coordination, and communication. This role requires a highly organized, detail-oriented, and tech-savvy professional who can manage competing priorities in a fast-paced environment while navigating multiple internal systems and supporting leadership, operations, and regional initiatives.
Key Responsibilities
Executive & Operational Support
- Provide comprehensive administrative support to the Operations Manager and Leadership Team, including calendar management, travel coordination, correspondence, expense reports, vacation tracking, and safety training records.
- Coordinate internal and external meetings by managing invitations, agendas, presentations, meeting minutes, logistics, and follow-ups (e.g., Operational Reviews, Town Halls, Leadership Meetings).
- Maintain internal communication channels and act as a liaison with key external contacts.
Office & Facilities Management
Manage telephone reception for both internal and external office needs.Serve as the primary point of contact for office operations, including mail handling, service contractors, office supply orders, and building maintenance.Liaise with facilities and building services teams to manage repairs, service requests, and tickets.Ensure smooth daily office operations and a professional work environment.Regional Team Coordination
Maintain and update regional distribution lists, phone directories, and SharePoint / Teams sites.Coordinate meeting logistics including room setup, audiovisual support, catering, and materials preparation.Create and manage Duty Manager and Supervisor rotation schedules.Consolidate and distribute materials, reminders, and updates related to regional operations and system requirements.Budget & Expense Administration
Support supervisory staff with expense submissions and tracking.Assist with SAP data entry, centralized tracking, and specific invoice processing as required.Technical & Systems Support
Process system access and SailPoint requests.Provide Power BI reports as requested.Support troubleshooting of office equipment, servers, and general IT-related issues.Handle service request orders and provide general clerical support.Learning & Onboarding Support
Act as a Workday Learning Administrator by editing course offerings, pulling reports, and updating instructor-led training completions.Support onboarding activities and learning administration for new and existing employees.Community Investment & Stakeholder Engagement
Provide quarterly spend tracking and updates for regional leadership meetings.Coordinate community-related initiatives, submissions, and media announcements.Support municipal advisors and stakeholders with community investment coordination and event support.Assist with internal and external event planning and logistics.Additional Responsibilities
Participate in internal committees, projects, and continuous improvement initiatives.Perform other administrative duties as assigned.Minimum Qualifications
Minimum of 3 years of experience in an administrative assistant, executive assistant, or similar role.Post-secondary education in Business Administration or a related field .Demonstrated ability to quickly learn and navigate multiple systems (e.g., SAP, Workday, SailPoint, SharePoint, Power BI, Microsoft Office).Strong organizational and time management skills with the ability to prioritize and work independently.Excellent written and verbal communication skills with a collaborative, professional approach.High attention to detail and accuracy in documentation and reporting.Comfortable working onsite while supporting a regional team across multiple locations.Demonstrated discretion and professionalism when handling sensitive or confidential information.Ability to travel approximately once per month within Northern Ontario (e.g., Thunder Bay, North Bay, Sudbury). Access to a personal vehicle and driving is not required ; alternate travel options may be used.
