THE OPPORTUNITY : INTERNATIONAL EDUCATION SUPPORT WITH JAPANESE FLUENCY (OFFICE SUPPORT C) In this position, you will : Provide office support to the international education administrative staff, school administrators, teachers and other staff Receive, answer and / or relay enquires by telephone, e-mail and in person regarding department operations, policies and procedures, in multiple languages Process and monitor international student applications, registrations, file information, refunds, transcript verification, and medical insurance registration Liaise with school staff, multicultural liaison workers, homestay parents, parents, and students, as well as outside agencies Greet the public and operate the reception desk and switchboard as required;
- receive and manage payments Prepare and maintain a variety of international student records, program records, bookkeeping, study permit records, custodianship records and other records using MyEd, AS400, Microsoft Office and other databases and software programs Prepare promotional materials for shipment to overseas offices, embassies and for the public on a regular basis Arrange meetings, type lists, reports, correspondence and other material from draft and edited copy Compose non-routine letters and correspondence Create and maintain a variety of records and reports Reconcile accounts and expenditures against approved budgets;
balance daily department receipts or petty cash, as required Operate office equipment including computers, printer / scanners, and other peripheral equipment as appropriate Perform office support for the Department Perform other work within the job band as assigned QUALIFICATIONS Completion of Grade 12 plus one (1) year post-secondary training in a business / office program supplemented with courses in the principles of accounting including bank reconciliation and a minimum of three (3) years of office experience or an equivalent combination of education and experience Thorough knowledge and experience using e-mail systems and Microsoft Office programs Exceptional customer service, interpersonal and communication skills Excellent organizational skills and ability to establish priorities and to meet deadlines Ability to work independently as well as in a team environment Must be able to meet the following assessments : current Word (+70%) and Excel (+70%), composing correspondence and applicable accounting Must possess or be willing to obtain an Occupational First Aid Level 2 certificate and will be required to perform Occupational First Aid Level 2 if assigned by the Principal / Supervisor (OFA2 attendants may, at the direction of Human Resources, be required to perform emergency coverage at other locations) Fluency in Japanese is required COMPENSATION The salary for this position is $32.
99 / hour (paid as 7 hours / day) plus a 5% second language premium and a comprehensive benefits package, including Municipal Pension Plan, Vancouver Employee Savings Plan, Extended Health, Dental, Group Life, Long Term Disability, Vacation, & Gratuity Days.
