Position Summary
Professional, responsible, and reliable Administrative Assistant providing high-level executive administrative support to the Vice President Construction, while also supporting Project Managers through administrative coordination of Commercial and Industrial construction projects.
Key Responsibilities
- Receive, screen, and respond to telephone and electronic inquiries; relay messages as required.
- Schedule, coordinate, and confirm appointments and meetings on behalf of the Vice President Construction, and Project Managers; prepare agendas and record minutes when required.
- Compose, edit, and proofread internal and external correspondence, memoranda, contracts, proposals, agreements, presentations, and reports.
- Coordinate document reviews and approvals by the Vice President Construction.
- Set up, maintain, and manage manual and computerized filing and information management systems.
- Order office supplies and maintain inventory for Construction, Maintenance, and Leasing departments.
- Provide administrative support to Project Managers throughout all phases of construction projects.
- Assist with tender administration by preparing tender documentation, schedules, drawings, and specifications, and coordinating distribution to subcontractors when required.
- Prepare and issue purchase orders, site instructions, change orders, invoices, and related documentation, when required.
- Sort, process, and verify project-related applications, receipts, expenditures, and forms.
- Perform additional duties and responsibilities as assigned.
Education and Experience
High school diploma requiredCollege diploma or business administration courses considered an assetKnowledge of general administrative and clerical proceduresProficiency with Microsoft Office and Internet-based applicationsKnowledge of customer service principles and practicesKey Competencies

Work in compliance with the provisions of the OHSA, Regulations, CDs Health and Safety Management System Manual, and internal policies and proceduresAttend all required health and safety training programs (e.g. WHMIS, orientation, tailgate talks), and apply knowledge to daily operating proceduresKnow, understand and implement safe work practices, procedures, and established rules project activities and for handling materials, equipment and processesAct to correct and report any contravention of the OHSA, regulations, or company H&S policies and procedures or any observed hazard to their Supervisor and EHS departmentRefrain from operating any equipment, machine, device or thing, or otherwise working in a manner that may endanger anyoneUse all safety devices provided, ensuring optimum condition of devices and report any defects immediately to a supervisor and EHS departmentReport any missing or defective equipment or protective device which could endanger any person to their Supervisor and EHS departmentReport all injuries, incidents, hazards and unusual conditions immediately to their Supervisor and EHS departmentComplete supporting documentation appropriate for circumstances listed above.Working Conditions
