The Opportunity

Venturis is looking for highly dynamic and organized Executive Assistant to join our fast-paced, innovative environment. This is a hybrid role based in Surrey, British Columbia .

As the Executive Assistant, you will provide first-class support to a member of our Executive team.

Your main responsibilities will include various administrative and organizational tasks, including coordinating meetings and appointments, managing calendars, compiling data to prepare documents and presentations, and acting as a representative to an assigned Executive.

You will also conduct business with colleagues and external vendors on behalf of the Executive.

Essential Duties & Responsibilities

As the Executive Assistant your key responsibilities will include :

  • Drafting and responding to general emails as directed by the COO
  • Keeping the Executive's calendar up-to-date, including adding events, rescheduling appointments and providing daily briefings
  • Communicating and following up on important tasks, meetings, and dates
  • Liaising with clients, suppliers, and staff
  • Handling customer and employee information confidentially
  • Researching certain topics for blog posts, newsletters, or other pieces of content; publish blog posts and respond to inquiries on the posts
  • Writing content as required; create forms and surveys as required; fill out online forms and registrations
  • Conducting research and creating reports on various topics based on the needs of the executive
  • Organizing events and conferences corporately as required
  • Assist in speaking engagements and prep as required; assist with corporate meetings and event organization
  • Aiding in development of PowerPoint presentations, and reports
  • Take down meeting minutes and transcribe notes and audio
  • Planning and organizing events that take place externally, such as fundraisers, sporting tournaments, and appreciation events
  • Act as a point of contact between the executive and internal / external clients
  • Coordinate and oversee projects, ensuring timely completion and compliance with the Executive's directives
  • Aid in managing asana and to do lists
  • Facilitate smooth communication between the Executive and other departments

Required Skills & Qualifications

The ideal candidate will possess the following skills, knowledge, and competencies :

  • Prior experience in an Executive Assistant position is required
  • Post-secondary education in Business or Arts, or equivalent combination of education and experience
  • Strong, demonstrated organizational and program management skills requires
  • Sound knowledge and understanding of learning principles and processes
  • Demonstrated experience as an internal consultant to develop and implement Learning & Development initiatives
  • Ability to problem solve, manage conflict, and build relationships with people at all levels of the organization; able to challenge the status quo in a professional and constructive manner
  • Ability to conduct research and create reports or presentations
  • Facilitation skills are essential
  • Excellent attention to detail and strong time management skills
  • Strong communication skills and interpersonal skills
  • Ability to handle sensitive information with discretion

  • Excellent technical ability (Word, Excel, PowerPoint, Outlook, Adobe Illustrator, InDesign & Photoshop)

The base pay range for this role is : $83,000 to $125,000, depending on experience.

This is a hybrid role based in Surrey, British Columbia.
