Program Coordinator (Apparel and Accessories)

A hybrid role based in Vancouver, combining remote and onsite work in our Canadian office. You will design and develop programs for a diverse portfolio of recognized brands such as Microsoft, Patron, Maserati, T‑Mobile, Cirque de Soleil, Starbucks, Coca‑Cola, Smirnoff, Moët‑Hennessy, Tito’s, Pokémon, and the NFL.
Key Responsibilities
- Manage daily shipping and tracking of samples to the customers and factories, including packing slip creation, international shipping, customs documentation, and sample returns.
- Collect and compile documentation for order confirmation and client invoicing.
- Track program progress and assist in maintaining the sample and production schedule.
- Handle logistical communication and quotes to support project final delivery.
- Create and maintain comprehensive project documentation.
- Manage and maintain fabrics, trims, sample room, and sample library.
- Study client requirements and work with production and design teams to provide the best custom solutions to prospective clients.
- Support design proofing and technical details for project initiation.
- Support tech pack review for clarity, accuracy and completeness.
- Support PO and invoicing paperwork proofing and preparation (for client and vendor and both sample and bulk production).
- Work with supply chain partners to obtain pricing and provide quotes to the client utilizing the applicable company pricing mark‑up schedule.
- Keep accurate records and document customer service actions and discussions.
- Assist with daily office management tasks, ordering supplies, and supporting the leadership team with various administrative needs.
- Invoice, data entry and order entry support.
Qualifications
BS degree in Textile & Apparel or similar preferred; or product development internship and completed Textile & Apparel courses.1 to 3 years of experience in a project coordination or administrative role, ideally in the apparel industry.Fluent in English (read, write, speak).Proficient with MS Office; Adobe Illustrator knowledge is a plus.Ability to prioritize, work effectively in a fast‑paced environment and under pressure with tight deadlines.Strong verbal and written communication skills, proactive problem‑solving.Organizational skills, multitasking, adaptable to changing priorities.Ability to work both independently and collaboratively.Flexible, willing to learn and take direction.Knowledge of apparel decorating techniques (screen print, heat transfers, embroidery, etc.) is a plus.Full‑time, permanent position (minimum 40 hours per week).Hybrid role – opportunity to work both remotely and onsite in our Vancouver office.Location : Vancouver, British Columbia, Canada.Canadian Citizen or Permanent Resident, living in the Lower Mainland.Compensation, Perks and Benefits
Estimated base salary $50,000 CAD and eligibility for an annual bonus. Benefits include :
