Position Title : Front Office Representative

Location : Hallifax NS

Reports To : Front OfficeManager

JobSummary :

We are seeking a highlypersonable and professional Front Office Representative to join ourteam. The successful candidate will be the first point of contactfor our company providing exceptional customer service andadministrative support.

The ideal candidate will have excellentcommunication skills a friendly demeanor and the ability to handlea variety of tasks efficiently and effectively.

KeyResponsibilities :

  • Customer Service : Greet andwelcome visitors clients and employees with a warm and professionaldemeanor. Provide accurate information and address inquiries in atimely manner.
  • ReceptionDuties : Manage the front desk by answering incomingphone calls directing calls to appropriate personnel and takingmessages as needed.

Handle incoming and outgoing mail packages anddeliveries.

  • AppointmentScheduling : Schedule and confirm appointmentsmeetings and conference room bookings. Maintain an organizedcalendar and ensure proper communication of schedules.
  • Administrative Support : Assist with administrative tasks such as filing data entry andmaintaining office supplies inventory.

Prepare and distributedocuments and correspondence as required.

  • Security Management : Ensurethe front office is kept secure by monitoring visitor access andmaintaining visitor logs. Follow all security procedures for dataprotection and privacy.
  • CustomerAssistance : Assist customers with inquiries anddirect them to the appropriate departments. Handle complaints andprovide appropriate solutions escalating issues whennecessary.
  • RecordKeeping : Maintain accurate and uptodate records ofvisitors appointments and other relevant data. Ensure compliancewith company policies and procedures.

Qualifications :

  • High school diploma or equivalent; associateor bachelor's degree in business administration or arelated field is a plus.
  • Excellent verbal andwritten communication skills.
  • Strongorganizational and multitasking abilities.
  • Proficiency in Microsoft Office Suite (Word ExcelOutlook) and familiarity with office equipment (e.g. fax machinesprinters).
  • Professional appearance andattitude.
  • Ability to work independently and aspart of a team.
