School of Graduate Studies

The School of Graduate Studies (SGS) provides administrative and operational oversight for all graduate programs at UNB which includes currently more than 2000 students in more than 60 different programs in 13 Faculties across the Fredericton and Saint John campuses. The SGS manages major program details for this cohort of graduate students from the time of application and admission to UNB through to degree completion.

Standard Work Hours : Mon - Fri 8 : 15 am - 4 : 30 pm 36.25 hours per week

Salary Range : $25.28 - $29.92 per hour

YOUR FOCUS

The GPO reports directly to the Operations Coordinator in the School of Graduate Studies and supports the decanal team providing expertise in selection of applicants for admission to graduate programs. The GPO oversees applications though the admissions process analyzing qualifications in the context of graduate level admission standards implementing admission decisions and managing all admission related communication. The GPO is the primary resource internally (members of the Universitys graduate community) and externally (applicants) for those seeking admissions support.

  • Must have and maintain an in-depth knowledge of calendar admission criteria general School of Graduate Studies guidelines and regulations and the additional requirements policies and guidelines of the respective programs while adhering to all appropriate SGS approved admissions and records processing policies.
  • Maintain communication with faculties and departments to enhance the process of admissions and establish positive working relationships.
  • Responsible for ongoing communication with individual prospective students regarding admission matters such as application process programs of application entrance requirements missing documents and all other admission related inquiries.
  • Manage all aspects of electronic and written correspondence to applicants throughout the admissions process including communicating releasing and approving admissions decisions.
  • Authenticate official documents according to established admission processes and procedures including transcripts test scores and proof of English language proficiency.
  • Prepare the application file(s) for admission and transfer credit assessment (if applicable) by the appropriate faculty. Liaise with faculty staff to ensure efficient application management and acts as a resource on admission matters.
  • Ensure that excellent customer service and correct information is provided to students faculty and the general public while upholding the basic tenet of confidentiality of the student record.
  • Assist Deans and Operations Coordinator on special projects when required and assists in other areas of the School of Graduate Studies as assigned.

WHAT YOU BRING

  • Undergraduate degree College Diploma or Certificate in related field. Combination of Education and experience may also be considered.
  • Minimum of 5 years related experience in a University or Academic environment or administrative and customer service-oriented environment.
  • Additional Strengths :

  • Detailed knowledge of admission terminology and experience working with university students in a service-oriented environment considered an asset.
  • Demonstrated ability to operate a variety of software comprehensive knowledge of MS Office experience with Colleague UI CRM Recruit or other database management systems.
  • Demonstrated ability to learn and apply institutional policies and procedures.
  • Experience working in a confidential setting and demonstrate good judgment in dealing with sensitive or problem situations.
  • Superior professional written and verbal communication critical thinking and problem-solving skills.
  • Ability to demonstrate self-direction aptitude to work in a service-oriented environment as both a member of a team and independently.
