About the Role
We are seeking a Customer Service & Sales Support Coordinator to join our growing Canadian team in Markham, Ontario. This position plays a vital role in supporting our Food, Pharma, PetCare, and Industrial business segments — ensuring seamless coordination across customer service, order management, logistics, and sales operations. The successful candidate will act as the central liaison between customers, sales account managers, distributors, and logistics partners, ensuring exceptional service quality, compliance with corporate policies, and continuous process improvement within a dynamic and fast-paced environment.
Responsibilities
Customer Service & Order Management
- Manage end-to-end order processing in SAP Business One, ensuring timely and accurate entry, confirmation, dispatch coordination, and invoicing.
- Communicate proactively with customers regarding order status, lead times, product availability, and shipping updates.
- Coordinate with local and international warehouses, freight forwarders, and brokers to ensure on-time, in-full (OTIF) deliveries and compliance with import / export documentation requirements.
- Monitor and manage customer credit holds, invoicing accuracy, and returns in collaboration with the Finance team.
- Track product deliveries, troubleshoot logistics issues, and follow up on carrier claims or discrepancies.
Sales Operations & Commercial Support
Provide operational and administrative support to the Office Supervisor and Sales Account Managers for daily business activities.Maintain up-to-date customer databases, price lists, and item master data within SAP.Assist with the coordination sample requests, product change notifications, and follow up on new business opportunities with customers and distributors.Assist with generating monthly sales and performance reports (volume, GM%, customer activity) as required.Logistics & Documentation
Support the Buyer / Planner with logistics-related tasks, including preparing and verifying customs documentation, export declarations, and certificate requests in coordination with international shipping partners.Assist with tracking inbound shipments from global JRS manufacturing sites (Europe, USA, Asia) and monitor freight cost fluctuations to support internal cost control.Maintain filing and traceability of import / export records in compliance with CFIA and Health Canada requirements.Marketing & Communication
Coordinate marketing communications and trade show materials in cooperation with the Marketing and Sales teams.Support the preparation of customer presentations and bilingual (English / French) documents where applicable.Maintain brand alignment with JRS global communication standards.Continuous Improvement & Support
Provide backup coverage to other administrative and sales coordination functions during absences or peak workload periods.Participate in internal meetings, training sessions, and contribute to the development of standard operating procedures (SOPs).Qualifications
Bachelor’s degree in Business Administration, Supply Chain, or a related field.3–5 years of experience in customer service, logistics, or sales support (experience in B2B ingredient, chemical, or food industry preferred).Experience or background in the food industry is an asset.Proficiency in SAP Business One or equivalent ERP systems; strong Microsoft Excel and Office 365 skills.Excellent written and verbal communication skills in English; French is an asset.Strong attention to detail, accuracy, and process orientation.Ability to work independently, manage multiple priorities, and adapt to evolving business needs.Collaborative mindset with a professional, customer-focused attitude.Familiarity with import / export procedures, freight coordination, and compliance documentation is a strong asset.Pay range and compensation package
