Mail Associate

One of our large insurance company clients, is looking for a Print / Mail / Scan Production Associate Contract Length : Approximately 12 months contract with a possibility of extension Location : Toronto, ON (Onsite)Work Hours : Monday to Friday (either 8am - 4pm or 9am - 5pm) ESSENTIAL FUNCTIONS : Mail : Prepare mail and packages for external shipment using common mail services, air express, freight and postal services.

Receive, sort and process mail documents, packages, and supplies. Notify recipients.Basic Printing utilizing color production printersRecord & process accountable mail information, maintain logs.

Arrange alternative courier or shipping services to meet customer requirements.Verify and maintain records on incoming and outgoing shipments.

Perform quality checks on outbound mail.Perform charge-back reporting for postage, air express, local delivery, and faxes.

Perform mail labeling / mail merge.Perform electronic mail distribution (open, mail prep, scan and distribute).Perform fulfillment functions, such as assembly, packaging, and kitted materials.

Follow mailroom security procedures.Perform logging, transmission, receipt, and timely distribution of faxes.Deliver and pick-up mail on scheduled runs.

Recommend improvements to achieve cost savings and optimize workflow.Track, trace, and resolve mail problems or concerns.

Monitor / order / replenish supplies inventory.Able to be on your feet 80% of the time.Able to lift and move up to 50 pounds.

Ability and willingness to learn.Have a valid driver's license. Facilities : Meeting & training room set-ups as per client request.

Support meetings with catering services as required.Monitor kitchens & Coffee stations are in proper order, ordering supplies as required.

Respond to employee service requests and action through appropriate systems.Follow-up on open facilities tickets through to completion.

SKILLS : Good communication and customer service skills, both written and verbal.Self-motivated.Able to read, write and follow English instructions.

Intermediate computer skills, including MS Office, Outlook & Teams.Ability to manage multiple tasks and perform duties with minimal supervision.

Ability to operate high volume mail and insertion equipment. EXPERIENCE : 6 months to 1 year experience in a professional working environment.

Experience in a client-facing environment.Previous dock experience.Experience with lift truck and material handling equipment.
