Job description

POSITION SUMMARY

The Elder’s Program Coordinator is responsible for planning, organizing, budgeting, and delivering a full calendar of Elder’s Programming throughout the year. Approximately 75% of the role is administrative, including event planning, budgeting, scheduling, reporting, communications, and logistics management.

The Coordinator ensures Elders are supported in a respectful, organized, and culturally safe manner, providing high-quality programs, gatherings, and travel opportunities.

KEY RESPONSIBILITIES

ADMINISTRATIVE & PROGRAM PLANNING

  • Develop a 12-month Elders Program Calendar (events, workshops, trips, gatherings, cultural activities).
  • Create, plan, and manage the annual program budget, including purchase orders (PO’s), invoices, and expense tracking.
  • Prepare materials for Audit & Finance Committee presentations.
  • Complete all administrative paperwork and reports.
  • Prepare travel packages, itineraries, checklists, rooming assignments, and emergency contacts for major events.
  • Book venues, catering, transportation, and accommodation.
  • Create monthly, and annual program reports.

EVENT & TRIP COORDINATION

  • Organize Elders events (e.g., luncheons, workshops, gatherings).
  • Coordinate large trips such as Vancouver / Seattle Elder’s Conferences.
  • Provide on-site support during events – set up, clean up, registration, check-ins.
  • Act as the administrative lead during travel (not a participant).
  • Ensure Elders have what they need during travel and feels supported and safe.
  • ELDER SUPPORT & COMMUNICATION3>

  • Build strong, respectful relationships with Elders.
  • Respond to questions, concerns, and requests with patience and professionalism.
  • Communicate event details clearly and consistently.
  • Ensure Elders understand expectations, schedules, and logistics.
  • FINANCIAL RESPONSIBILITIES

  • Secure quotes, finalize bookings, and track all program expenditures.
  • Maintain accurate program records and receipts.
  • Submit purchase orders and reconcile expenses.
  • OTHER DUTIES

  • Maintain program supplies and equipment.
  • Prepare reports for leadership.
  • Support other community events as needed.
  • KNOWLEDGE, SKILLS & ABILITIES

  • Strong administrative and organizational skills.
  • Ability to plan 12-months ahead.
  • Strong writing skills and ability to create schedules, itineraries, and communications.
  • Strong computer skills.
  • Ability to manage budgets and track expenses.
  • Calm, patient, and professional interpersonal skills.
  • Ability to work under pressure and meet deadlines.
  • Respectful and culturally aware approach to Elder support.
  • QUALIFICATIONS

  • Minimum 2‑years of experience with administrative or program coordination.
  • Experience planning events or coordinating travel preferred.
  • Experience working with Elders or community programming is an asset.
  • WORKING CONDITIONS

  • Work is primarily office‑based with regular movement between the office, community spaces, and event sites.
  • Occasional lifting, carrying, and physical setup for Elders’ events is required.
  • Some evenings, weekends, and travel will be necessary, including supervising multi‑day Elders’ trips.
  • This role requires balancing multiple deadlines, frequent interruptions, and working with Elders who may have high expectations or urgent requests.
  • Must be comfortable working in a fast‑paced environment with shifting priorities.
  • OTHER REQUIREMENTS

  • Valid BC Driver’s License.
  • Ability to lift, carry, set up and clean up event materials.
  • Ability to travel.
