General Summary :

The Front Office Iprovides the first point of contact with patients as they enter theoffice or via telephone. The Front Office I greets all patientsvendors or anyone within the office or on the telephone with a warmwelcome.

The Front Office I is responsible for opening the officeand ensuring readiness for patients consistent with Holston MedicalGroups quality practice standards polices procedures and customerservice expectations.

The Front Office I will check in patientscollect payments check out patients schedule followup appointmentsand balance all transactions daily.

The Front Office I isresponsible for providing excellent customer service skillsthroughout the day.

OpeningResponsibilities :

  • Open saferemove and distribute prescription pads drug cabinet keys andembossers to nurses
  • Count money in openingdrawer and log amount
  • Take the phones off theevening setting and followup on any messages leftovernight
  • Unlock doors for the businessday

CheckInResponsibilities

  • Greetpatients vendors or anyone within the office or on the telephonewith a warm welcome
  • Data entry of patientdemographics and insurance information
  • Ensurethat patient insurance information is uptodate and accurate / obtaincurrent copy as needed
  • Verify demographicinformation with patient
  • Update all frontoffice forms if outofdate to include but not limited to historyform demographics HIPPA financial policy no show communicationforms etc.
  • Provide HIPAA information topatient
  • Provide history form to patient ifoutofdate
  • Provide all new patients a newregistration packet (history advance directive medical recordnumber) and enter in to the EMR (electronic medicalrecord)
  • Verify insuranceeligibility
  • Collect copay generate receipt andpost collected payment to the patients account (performed atcheckin and / or checkout)
  • Generate router forpatient
  • Enroll patients in follow myhealth
  • Supply patient with internet passwordif requested

CheckOutResponsibilities

  • Collectcopay generate receipt and post collected payment to the patientsaccount (performed at checkin and / or checkout)
  • Address any outstanding balance with patient collectpayment or make payment arrangements on past due balances generatereceipt and post collected payment to the patientsaccount
  • Schedule followupappointments
  • Verify all narcotic logs andensure patient picking up prescription has a valid driverslicense

General OfficeResponsibilities

  • Answerincoming phone calls
  • Create detail specifictasks from patients for nurses and providers with preferred contactinformation
  • Answer general billingquestions
  • Pick up documents to shred fromwithin the office
  • Pick up documents to send toScan from within the office ensure properly labeled with medicalrecord number
  • Distribute items from the faxmachine (date stamp)
  • Key charges asnecessary
  • Open and distribute mail
  • Ensure all medical records releases are completed and avalid Photo ID is obtained
  • Cross train in allareas of the front office when possible
  • Mayhave to fill in at other HMG offices upon request based upon thebusiness need on an occasionalbasis

ClosingResponsibilities :

  • Close outbank deposit following HMG procedures
  • Closeout credit card machines for the day
  • Make sureall calls are cleared from que before logging out of the phoneque
  • Forward phones to the eveningsetting
  • Close and lock alldoors

Education / Experience / Knowledge :

  • High School diploma or equivalent required
  • 12 years experience in a medical office or customerservice position preferred
  • Proven successasking for payment making change and balancing a cashdrawer
  • Working knowledge of managed care andoverall understanding of HMOs and PPOs preferred
  • Excellent customer service skills is amust

Ability to establishand maintain cooperative working relationships with coworkers andthe public. Work independently and identify potentially moreeffective methods of work operations.

Ability to interactappropriately with colleagues and patients for different purposesand differentcontext.

Marginal : Needs to move inside or outside the office space to access filecabinets. Sedentary work that includes moving objects up to 10pounds.

Observing an area that can be seen up and down or to rightor left while eyes are fixed on a given point. Ability to identifyand distinguish colors.

Light work that includes moving objects upto 20poundsoccasionally.
