Job Overview
Arts Umbrella is a non‑profit organization for arts education that serves nearly 20,000 young people every year across Metro Vancouver. It offers artistic programs in Art, Design, Dance, Theatre, Music, and Film to children aged 2–22, nurturing self‑confidence, discipline, and creative expression.
As client of Crew HR, Arts Umbrella is seeking a seasoned Program Coordinator to support the dance department and production teams. The role reports to the Production Manager, ensuring smooth coordination of all production activities, schedules, and administrative tasks.
Arts Umbrella acknowledges that its work in Vancouver and Surrey is on the unceded, traditional, and ancestral territories of the music—specific First Nations listed above.
Responsibilities
- Support dance department productions, acting as stage manager for in‑house performances and facilitating production set and props, programme information, and lighting and costume elements.
- Coordinate department operations through communication, handbook management, and coordination of reference letters, fundraisers, and subscription series.
- Provide administrative and student support, including volunteer hour tracking, studio bookings, recital assistant scheduling and oversight, student assessments, and assistance with faculty / musician substitutions.
- Coordinate program logistics such as weekly schedules, health program and bus schedules, internal theatre bookings, repertoire tracking, photoshoots, and guest / artist communications.
- Assist with financial and operational tasks including visa reconciliation, invoice and receipt processing, department purchases, and ticket / box office management.
Qualifications
Completion of a post‑secondary degree / diploma.Post‑secondary education in Theatre, Dance, or Performing Arts, or equivalent practical experience.1–2 years of relevant experience.Strong written and oral communication skills.Ability to prioritize, think ahead, and work effectively under pressure to meet deadlines in a fast‑paced environment.Attention to detail for accurate paperwork, logistics, and production tasks.Proven experience with MS Office (Word, Excel, Outlook), Adobe Creative Suite (Photoshop, InDesign, Premiere Pro) and Google Suite (Docs, Sheets, Forms).Experience with QLAb, Master Tour, and Tickit considered an asset.Proven ability to work in a team.Understanding of dance production processes, scheduling, and event coordination (asset).Diversity & Inclusion
