The Policy / Document Governance Lead will develop and manage the overall delivery of a centralized corporate policy program and ensure a cohesive framework to govern policies within the organization. This role provides expert advice and guidance, oversees policy development and review processes, and ensures compliance with organizational goals and regulatory requirements.
Key Accountabilities :
Corporate Policy Program Leadership
- Develop and maintain a comprehensive corporate policy program, including : Reviewing governance systems and policy architecture.Assessing policy repositories and frameworks.Designing and implementing a corporate policy framework.
- Lead a scheduled review cycle for all corporate policies to ensure relevance and compliance : Coordinate with department heads to assess effectiveness.Identify outdated or redundant policies.Facilitate stakeholder consultations and update language for clarity and legal compliance.Present revised policies for approval.
- Develop new policies in response to organizational, strategic, or legislative changes : Monitor regulatory and strategic developments.Collaborate with legal, finance, procurement, ER / LR, and operational teams.Create implementation plans, including training and communication strategies.
- Establish metrics to evaluate policy adoption and effectiveness.
Expert Advice and Guidance
Advise departments on policy drafting, interpretation, application, and compliance : Review drafts for clarity, consistency, and legal compliance.Provide guidance on language, structure, and risk mitigation.Support compliance improvement plans and clarify policy intent and scope.Cross-Functional Collaboration
Facilitate alignment across departments : Organize projects to review overlapping policies and resolve inconsistencies.Develop shared definitions and standards.Establish governance frameworks for ongoing collaboration.Integrate new policy requirements into enterprise systems : Coordinate with IT and departmental leads to embed policies into platforms.Ensure workflows and controls support compliance.Tools, Templates, and Training
Develop and maintain standardized toolkits for policy drafting and revision.Create and deliver corporate policy training programs covering : Policy framework and lifecycle.Interpretation and application in daily operations.Roles and responsibilities in compliance.Qualifications :
Degree or diploma in Library and Information Studies, Records & Information Management, Corporate Governance, or Corporate Compliance; or an equivalent combination of education and directly relevant experience.Experience (5–7+ years) in enterprise policy governance, including designing, implementing, and maintaining a centralized policy program (frameworks, repositories, governance).Leading policy review cycles and coordinating multi-department consultations.Performing regulatory gap analyses, risk assessments, and drafting recommendation reports.Managing cross-functional rollouts of policy changes (phased plans, training, communications).Building and maintaining toolkits (templates, style guides, approval workflows) and delivering staff training.Establishing and tracking adoption / effectiveness metrics for policies (., completion rates, audit findings, exception trends).Project Management : Demonstrated ability to manage multi-phase initiatives (plans, milestones, timelines, risks), including annual review schedules and leadership briefings.Communication & Consultation : Advanced skills in plain-language policy writing, stakeholder facilitation, and translating complex regulatory concepts into practical guidance.Digital Literacy : Proficiency with policy / document management platforms (., SharePoint, Confluence, ServiceNow GRC) and advanced MS Office skills (Word styles / templates, Excel tracking dashboards, PowerPoint briefings).Change Management : Ability to tailor messaging and training for diverse departments; experience embedding policy into enterprise systems / workflows with IT.Independence & Initiative : Proactive identification of policy impacts ahead of organizational changes; capacity to launch guidance, FAQs, and training without formal requests.Preferred / Asset Qualifications
Experience in regulated environments, ., healthcare, aviation, or higher education.Certifications : Project Management Professional (PMP) or PRINCE2; Lean Six Sigma (Yellow / Green Belt); Change Management (., Prosci).Familiarity with governance, risk & compliance (GRC) frameworks and audit practices.Experience managing budgets and vendor relationships (., policy repository or retention software).We value diverse pathways into the profession.
