We areseekinga highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will provide comprehensive administrative support to ourexecutive,project managers, and other team members, contributing to the smooth operation of our projects. This role requires excellent communication skills,proficiencyin office software, and the ability to multitask effectively in a fast-paced environment.
Responsibilities : 1. Office Management
- Greet visitors, answer incoming calls, and respond to emails in a professional and timely manner.
- Maintain office supplies inventory by checking stock, anticipating needs, placing and expediting orders, and verifying receipt of supplies.
- Ensure the office environment is clean, organized, and presentable always.
2. Administrative Support
Assist project managers with scheduling meetings, coordinating travel arrangements, and preparing expense reports.Prepare and distribute project-related documents, including meeting agendas, minutes, and presentations.Organize and maintain electronic and paper filing systems, ensuring easy access to important documents and records.Assist with data entry, document formatting, and other clerical tasks as needed.Organize and submit expenses for A2SKI executives.3. Project Support
Collaborate with project teams to track project milestones, deadlines, and deliverables.Compile and distribute project progress reports, highlighting key achievements, challenges, and action items.Assist with the preparation and submission of project-related documentation, such as permits, RFIs, and change orders.Liaise with subcontractors, suppliers, and other stakeholders to facilitate communication and resolve issues as they arise.Travel and Accommodation arrangements4. Safety and Compliance
Support the implementation of safety protocols and procedures on construction sites, includingmaintainingsafety records andarrangingsafety training sessions.Ensure compliance with company policies, industry regulations, andcontractual requirements.Qualifications :
Office Administration Certificateor equivalent with at least 2 years of experienceProven experience as an administrative assistant or office administrator in the construction or related industry is preferred.Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other relevant software applications.Strong organizational skills with the ability to prioritize tasks and manage time effectively.Excellent communication skills, both verbal and written, with a professional and courteous demeanor.Attention to detail and accuracy in data entry, record-keeping, and document preparation.Ability to work independently with minimal supervision and collaborate effectively in a team environment.Knowledge of safety protocols and procedures in a construction setting is an asset.Adedicated employment equity initiative is in place, we encourage candidates from Peter Ballantyne Cree Nation and other Indigenous people (First Nations, Metis, or Inuit) to apply.
