Western Medical Canada is a country wide Healthcare construction company who specialize in Medical imaging installs and specific Healthcare construction projects across Canada. The position will be based in Mill Bay, British Columbia two days per week and work from home the remaining three. Travel to various work sites across Canada as well as support to Ontario office may be required on an ad-hoc basis.
This position will be transitioning to a Project Manager role in the next 6 - 12 months.
Project Coordinator responsibilities include working closely with our Project Mangers to prepare specific project documentation including but not limited to submittal coordination, CCN's, Site instructions, Change orders & collating O&M manuals along with various coordinating tasks.
Key Responsibilities Project Support & Coordination
- Assist project managers in the development of project plans, schedules, and documentation.
- Track project progress, milestones, and deliverables, ensuring deadlines are met.
- Coordinate internal resources, vendors, subcontractors, and clients as needed.
- Prepare and maintain project documentation including meeting minutes, change orders, reports, and logs.
Communication & Stakeholder Management
Serve as a primary point of contact for project-related communication.Schedule and facilitate project meetings, ensuring follow-up on action items.Maintain strong relationships with clients, vendors, and partners to support successful project outcomes.Operational & Administrative Support
Organize and maintain project files, contracts, and documentation.Assist with procurement activities, including purchase orders, equipment tracking, and logistics coordination.Support budgeting and invoicing processes by gathering data, tracking costs, and preparing updates.Health & Safety (SALUS Platform)
Use the SALUS online safety management platform to complete safety orientations, track documentation, and maintain compliance.Monitor and ensure subcontractors and internal teams complete SALUS requirements, including hazard assessments, toolbox talks, incident reporting, and safety certifications.Assist project managers in identifying potential safety risks and ensuring corrective actions are documented and implemented.Promote a strong safety culture by ensuring all project activities align with Western Medical's standards and regulatory requirements.Requirements and skills
Proven work experience as a Construction Project Coordinator or similar roleExperience in construction project management, from conception to deliverySolid organizational skills.Strong working knowledge of Microsoft Project, Word, Excel, and Adobe ProMust reside in Canada with PERMANENT RESIDENCY Work Permit is NOT acceptable due to lengthy approval process in BC
