Arcadis – Proposal Coordinator

The Proposal Coordinator will be a key player in a small, dynamic marketing and graphics team. As part of diverse project teams, you will collaborate with different departments and specializations within the firm. Working with senior leadership, you will help determine projects to pursue and put together proposal responses that align with Arcadis’ strategic plan.
Responsibilities
- Review and analyze inbound proposal requests (e.g., RFQ, RFP, EOI, SOA) to prepare responses.
- Coordinate with proposal leads, professional technical staff, and the marketing / graphics team to collect and analyze business information, write, edit, and produce proposal documents.
- Act as the primary point of contact during the proposal process, creating a submission schedule and sending reminders on internal deliverables and deadlines.
- Generate, collect, disseminate, and store proposal‑related information, and coordinate team members with internal deadlines to meet proposal due dates.
- Assist with final close‑out processes and file management.
- Maintain and update the CRM and content library with high‑quality content.
- Provide non‑technical writing for proposal efforts and offer editorial oversight, including copywriting and editing.
- Ensure proposals adhere to the company’s editorial and brand standards and reflect a high level of professionalism and quality.

The successful candidate will have at least two years’ experience in the AEC industry (preferred) and a post‑secondary degree in English, Marketing, Communications, or another relevant discipline (an asset).
Salary
The salary range for this position is $55,000‑60,000. The base salary represents Arcadis’ hiring range for this position; actual salaries will vary based on location, skills, experience, and qualification for the role.
