Our client is a one‑stop solution for Fire & Safety Systems, including Design, Project Management, Consulting, Maintenance & Service, and Inspections .
The Role
We are seeking an Office Manager to play a central role in supporting operations, field teams, and leadership. This is a hands‑on position ideal for someone who thrives in a smaller‑company environment and enjoys wearing multiple hats while keeping projects, people, and processes running smoothly.
Key Responsibilities
- Manage administrative, account, and file management for active projects
- Handle billing and invoicing , including data entry and invoice submissions
- Prepare and send quotes for services to clients
- Follow up on invoices, payments, contracts, and ongoing jobs
- Schedule field technicians and service calls
- Attend daily morning meetings with managers to align on priorities
- Maintain continuous communication with subcontractors, technicians, managers, and third‑party accounting partners
- Track and stay informed on all active projects to ensure smooth execution
What We’re Looking For
Previous experience in the fire protection / life safety industry (preferred)Strong proficiency in Microsoft Office (Word, Excel)Experience with Adobe / Bluebeam and QuickBooks is an assetBackground in a smaller or growing company , comfortable wearing multiple hatsHighly organized, detail‑oriented, and proactiveExcellent communication and coordination skillsSeniority level
