Job description

Location : Toronto, ON (Hybrid, 2-3 days on-site)

Duration : Contract role, starting ASAP until mid-February 2026, with potential for extension.

About the Opportunity

Altis Recruitment is proud to partner with an organization within the Broad Public Sector to find a dedicated Executive Level Administrative Coordinator. In this role, you will provide high-level administrative support to two Directors, becoming a trusted partner who helps navigate competing priorities and coordinates with diverse stakeholders. Your work will play a vital role in ensuring that the Directors can focus on their strategic objectives, ultimately contributing to the greater good of the community.

Your Responsibilities

  • You'll manage complex Outlook calendars, arrange meetings, and coordinate logistics, ensuring smooth operations for the Directors.
  • In this role, you'll prepare agendas, take meeting minutes, and track follow-up items effectively.
  • You'll liaise with various stakeholders-including senior leadership and political figures-demonstrating professionalism and political tact in all interactions.
  • You will draft correspondence, prepare reports, and facilitate day-to-day communications on behalf of the Directors.
  • You'll prioritize time-sensitive tasks, providing actionable recommendations to the Directors.
  • In your role, you will also coordinate occasional off-site meetings across the Greater Toronto Area.
  • You'll support administrative requests related to HR systems, ensuring compliance with organizational policies.

Skills and Qualifications

  • 5+ years of experience providing executive or director-level administrative support, ideally in the public sector.
  • Advanced proficiency with MS Office Suite (Outlook, Word, Excel, PowerPoint, Teams).
  • Strong organizational, time-management, and multitasking skills.
  • Excellent verbal and written communication abilities, with a focus on professionalism and discretion.
  • Demonstrated ability to work independently while exercising sound judgment.
  • Comfortable engaging with a diverse range of stakeholders.
  • A valid Ontario driver's license and access to a vehicle are assets.
