Duties and Responsibilities :
Enters and updates information into computer programs or databases.
Assesses files to determine what information needs to be entered and the appropriate location for entry.
Prepares source data for entry by compiling and sorting information and establishes entry priorities.
Follows verbal and written instructions.
Maintains data entry requirements by following data program techniques and procedures.
Works with moderate work direction and can identify issues / problems and escalate if assistance is needed in resolving.
Manage, train and mentor other office staff, lead projects, handle confidential and sensitive data.
Gather metadata from files within LAN folders for transfer to Excel workbook and / or database
Collaborate with subject matter experts to support decision-making on tasks
Update controlled binders and manuals
Print and compile updates to controlled binders and manuals
Process updates to controlled forms
Perform data entry for new requests
Support Verification & Validation (V&Vs) on controlled binders, manuals, and drawings
Follow up on outstanding drawing and document update requests (TRs and DRFTs)
Close drawing and document update requests (TRs and DRFTs) in SharePoint
Plot drawings
Support Stick filing by updating hanging sticks with controlled drawings
Generate Quarterly Status reports and Process & Instrumentation Drawing (P&ID) Reports
Support Process & Instrumentation Drawing (P&ID) distribution
Requirements and Qualifications :
Minimum 5 years of experience in Document control management
Previous experience as an engineer or in an engineering firm
Experience with Opentext and Vault software
High level of communication skills in English, both verbal and written
Intermediate to advanced typing skills
Advanced Microsoft Suite skills, especially Word and Excel
Ability to use PDF Writer or Bluebeam
Attention to detail and organizational skills
Strong prioritization and problem-solving abilities
Self-directed and able to learn new tasks quickly
Team player with the ability to work independently
Flexibility to switch focus as required and handle tedious tasks
Ability to review, understand, and follow written work instructions
Legally eligible to work and reside in Canada
