The Operations Cost Analyst plays a key role in optimizing procurement processes. This position is responsible for reviewing purchase orders and invoices, analyzing data, and ensuring compliance with internal procedures while collaborating with stakeholders. The role assists in enhancing operations and leveraging technology to drive efficiency. The ideal candidate is detail-oriented, possesses strong analytical skills, and has a passion for process improvement. The candidate also enjoys working with data, identifying inconsistencies, and uncovering actionable insights. Experience in property management or construction is preferred.
Responsibilities
- Review and assess property management operational expenses.
- Serve as the initial checkpoint for purchase orders and invoices submitted by third-party stakeholders.
- Ensure accuracy and alignment with Starlight’s standards, including:
- Proper GL code usage to support data integrity and analytics.
- Clear and concise item descriptions.
- Inclusion of required attachments (e.g., photos, quotes, supporting documentation).
- Document detailed reasons for rejection or approval.
- Analyze large datasets to identify trends, patterns, and actionable insights.
- Generate detailed reports and presentations to communicate findings and recommendations to management.
- Conduct audits of procurement activities across departments to ensure compliance with policies and procedures.
- Support Procurement Centre of Excellence initiatives related to property management operational spend.
- Support external stakeholders with training and adoption of procurement tools.
- Work with platforms such as Yardi and internal portals.
Experience
- University degree or college diploma.
- Minimum 2 years of experience working in property management, procurement, operations analysis, construction, project-based environment or similar.
- Proficiency in Microsoft Excel, other Microsoft Office tools, and other procurement platforms (e.g. Yardi).
- Exceptional attention to detail.
- Strong critical thinking and problem-solving skills.
- Communicates clearly and professionally with internal and external stakeholders.
- Proven ability to manage multiple tasks and meet deadlines in a fast-paced environment.
- Proactively takes responsibility for tasks and seeks opportunities to contribute beyond core responsibilities.
- Experience working with third-party vendors or property management companies is an asset.
