Manager of Corporate Services

Location: Vaughan OR Windsor, ON
Industry: Advanced Manufacturing & Precision Machining
Primary Focus: Corporate administration, facilities, leases, and multi-entity corporate services

Position Overview
A leading manufacturing organization is seeking an experienced Manager of Corporate Services to oversee corporate administration, facilities, lease administration, and office operations across a multi-entity business structure.
This role requires a highly organized and resourceful professional to coordinate corporate activities across multiple business entities and international jurisdictions. The ideal candidate brings background experience from an industrial or manufacturing environment, alongside cross-border exposure involving Canada and the United States and/or Canada and Asia-Pacific markets.
Candidate backgrounds may stem from corporate administration, senior office management, corporate services, or paralegal/law clerk roles in a corporate setting. This is a hands-on position requiring sound judgment, extreme attention to detail, discretion, and the ability to manage competing priorities in a fast-paced environment.

Key Responsibilities
Corporate Administration and Governance

  • Manage day-to-day corporate administration activities across multiple legal entities.
  • Maintain corporate records, organizational documents, registrations, licenses, and core business documentation.
  • Coordinate annual filings, corporate resolutions, director and officer information, and governance requirements.
  • Work with internal stakeholders and external legal counsel to support corporate matters and maintain accurate records.
  • Monitor corporate deadlines, renewal dates, reporting requirements, and contractual obligations.
  • Establish consistent administrative processes, document controls, and record-retention practices across the organization.
  • Prepare correspondence, reports, presentations, agreements, and corporate documentation.
  • Handle confidential and sensitive information with high professionalism and discretion.

Facilities and Lease Administration

  • Administer facility leases, amendments, renewals, and related documentation.
  • Maintain organized records of lease terms, renewal dates, notice periods, insurance requirements, and key obligations.
  • Coordinate with landlords, property managers, contractors, service providers, and internal operations teams.
  • Support facility maintenance, office improvements, security, access control, and workplace requirements.
  • Monitor facility-related service agreements, costs, timelines, and vendor performance.
  • Assist with facility planning, relocations, expansions, and capital improvement projects as required.
  • Ensure administrative requirements associated with manufacturing and office facilities are completed accurately and on time.

Corporate Services and Office Management

  • Lead and continuously improve corporate services and office administration processes.
  • Coordinate corporate vendors, service providers, office supplies, records management, and administrative systems.
  • Develop standardized procedures to support consistency across multiple locations or business entities.
  • Identify opportunities to improve administrative efficiency, service quality, documentation, and cost control.
  • Provide senior-level administrative support to executive leadership when required.
  • Coordinate meetings, corporate events, executive documentation, and special projects.
  • Act as a central point of contact for corporate administrative matters across the organization.

Cross-Border and Multi-Entity Coordination

  • Support corporate activities involving cross-border operations or business relationships between Canada, the United States, and international entities.
  • Coordinate documentation and administrative requirements across different legal entities and jurisdictions.
  • Work with external legal, accounting, property, and professional service providers in multiple countries.
  • Maintain clear records and communication relating to international corporate activities.
  • Support consistent corporate processes while recognizing jurisdictional and entity-specific requirements.

Qualifications and Experience

  • Minimum of 5 years of progressive corporate administration experience in a manufacturing, industrial, or multi-entity corporate environment.
  • Cross-border business experience involving Canada, the United States, and/or international markets.
  • Demonstrated experience in corporate services, facilities administration, and lease administration.
  • Previous experience in a senior office management, corporate administration, paralegal, or law clerk position within a corporate setting.
  • Experience maintaining corporate records, contracts, leases, registrations, and governance documentation.
  • Strong understanding of professional document management and strict confidentiality requirements.
  • Proficiency with Microsoft Office and document management systems.

Education

  • Post-secondary education in business administration, office administration, legal studies, facilities management, or a related discipline is preferred.
  • A paralegal or law clerk diploma is considered an asset.
  • Equivalent experience in corporate administration, corporate services, or senior office management will also be considered.
