Fleet/Warehouse Parts Supervisor

The City of Ontario Fleet Services Department is looking for a proactive and experienced Fleet/Warehouse Parts Supervisor (formal classification title Warehouse Supervisor) to lead daily warehouse operations within Fleet Services and support various other City Departments. This is an excellent opportunity for a motivated professional who thrives in a fast-paced environment, enjoys improving systems and processes, and is ready to take on full supervisory responsibility for a dynamic and essential municipal service operation. The Fleet Parts Supervisor (Warehouse Supervisor) plans, organizes, supervises, and overseeswarehouse functions including inventory control, procurement, material tracking, receiving, storage, and distribution. This position plays a key role in ensuring parts, supplies, tools, and equipment move efficiently across City departments—supporting critical operations that keep Ontario running smoothly. The ideal candidate brings strong leadership skills, deep knowledge of warehouse and inventory systems, and the ability to manage people, vendors, and workflows with confidence and professionalism. In addition, the ideal candidate will possess the City\'s Approach to Public Service and exhibit the qualities of a "Five Tool Player" – Leader, Thinker, Communicator, Operator and Public Servant - and the City\'s Customer Service Philosophy– Empathy, Respect, and Problem Solving. The following procedures will apply: The City of Ontario reserves the right, if necessary, to accept only the first one hundred (100) applications from applicants that meet the qualification guidelines below. Separate Promotional and Open (external) Eligibility Lists will be established. The Promotional Eligibility List will be comprised of current City employees (full or part-time) who meet the minimum qualifications and successfully complete any required selection processes. The Open Eligibility List will consist of external applicants who meet the minimum qualifications and successfully complete any required selection processes. The hiring department will consider candidates on the Promotional Eligibility List prior to considering candidates on the Open Eligibility List. Completed applications will be reviewed and only qualified applicants whose qualifications best meet or exceed the requirements of the position and needs of the City will be invited to participate further in the selection process Fleet Services Department The Fleet Services Department is responsible for providing fleet maintenance and repair, including vehicle procurement, fuel management and distribution, accident repairs, data tracking, and fleet analysis for over 1,000 City-owned motor vehicles and equipment. The mission statement of the Fleet Services Department is to provide safe, reliable, efficient and long-life operating vehicles and equipment to the City of Ontario through the application of preventative maintenance, timely repairs and replacement. A few useful links are also listed below: State of the City; The Ontario Plan; Smart Ontario; Downtown Ontario The essential functions typically performed by the Fleet/Warehouse Parts Supervisor (Warehouse Supervisor) include, but are not limited to the following: Plans, prioritizes, assigns, and supervises the work of staff and vendors in support of warehouse procurement and distribution activities, including the receiving and delivery of parts, equipment, tools, and supplies. Evaluates, develops, controls, and monitors inventory for parts and supplies; plans and conducts physical inventory counts; determines and maintains appropriate stocking levels; manages the processing of purchase orders for the department; and develops automated inventory procedures to support the capture and analysis of inventory, vendor, cost, and usage data. Supervises departmental requests for Fleet Services and other City departments by locating and acquiring required parts, assemblies, materials, and tools; reviews and processes requisitions; and verifies invoices to ensure orders are fulfilled accurately. Supervises the surplus disposal process; coordinates with City departments regarding surplus issues, ensures required documentation is completed, and arranges for the proper pick-up or delivery of surplus items. Participates in the development of goals, objectives, and policies; recommends and implements standard operating procedures for assigned operations. Coordinates and negotiates with vendors to establish pricing and product standards in compliance with City purchasing policies and guidelines for tools, equipment, parts, and supplies. Assesses, evaluates, and makes recommendations regarding the purchase or replacement of vehicles, parts, supplies, tools, and equipment. Monitors activities of the work unit; recommends improvements concerning process changes, service delivery, and procedures; reviews proposed changes with appropriate management staff; and implements approved improvements. Supervises and directs the activities of staff, including employee selection, work assignment, performance evaluation, employee development, disciplinary action, and complaint resolution. Oversees the solicitation of bids and quotes; recommends and approves vendor selection; and prepares purchase orders and contracts in compliance with City purchasing policies and guidelines. Provides customer service to various internal and external customers; responds to public inquiries and concerns; investigates complaints and suggests appropriate corrective actions. Assists with the oversight of regulatory and safety compliance for assigned section; conducts tailgate and general safety meetings; participates in emergency response management. Coordinates assigned services and operations with those of other departments and outside agencies. Assists management in the preparation of the annual budget; identifies resource needs, prepares detailed cost estimates, and monitors expenditures. Prepares reports, correspondence, and other written materials; oversees the establishment and maintenance of reports, records, databases, and files. Ensures compliance with all City and mandated safety rules, regulations, and protocols. Performs other related duties as assigned. Education: High school diploma or recognized equivalent. Experience: Four (4) years of increasingly responsible experience in equipment and parts procurement and inventory control, including two (2) years in a lead or supervisory capacity. Licenses: Valid Class C California driver’s license. Acceptable driving record at the time of appointment and throughout employment. Desirable: Possession of a valid Forklift Operator\'s License. Special Requirements: May be required to work during non-business hours in emergencies. Ability to work various schedules, including day, evening, night, weekend, and holiday shifts. Occasional travel to attend meetings, training sessions, or off-site assignments. Physical Requirements and Working Conditions: Ability to work in a general office setting and warehouse environment. May be exposed to smoke, fumes, gas, dirt, dust, grease, oil, chemicals, solvents, and toxic agents. Ability to operate office equipment requiring repetitive hand movement and coordination. Movement of arms to reach and have dexterity of hands to grasp and manipulate objects. Frequent sitting, standing, walking, and bending. Occasional stooping, bending, squatting, kneeling, twisting climbing, and walking on uneven surfaces. Occasional lifting, carrying, pushing, pulling up to fifty (50) pounds with or without aid. Utilize, sight, hearing, speaking, reading, writing, and math ability to communicate information clearly. Ability to see with normal vision and visual range with or without correction. Ability to hear in the normal audio range with or without correction.
