Position Overview

The Records and Privacy Officer works closely with the Pensions, Benefits and Special Projects Specialist to ensure consistent, compliant, and secure management of records in accordance with legislative obligations and organizational policies. This role is dedicated to supporting a broad range of best practice initiatives related to records and privacy security. In addition, this Officer supports Benefits and Pensions work that BCNU is engaged in.

Note: This position is distinct from the designated Privacy Officer for BCNU. The Pensions, Benefits and Special Projects Specialist acts in that capacity. Pursuant to PIPA BC, the Privacy Officer (of BCNU) is defined as an excluded Staff formally designated by BCNU to take responsibility for its compliance with PIPA, including, though not limited to, overseeing privacy practices, handling complaints and inquiries, and serving as the publicly accessible point of contact for privacy matters.

Key Responsibilities

Works closely with the Privacy Officer designated by BCNU to ensure compliance with PIPA and internal privacy policies.

Creates guidelines and sets up processes to ensure themaintenanceandretentionof records isaligned with best practices and legislative standards.

Coordinatesand completesresponses toaccessto personal informationinquiries.

Conducts privacy impact assessments anddraftPIPA compliance agreements.

Ensures privacy and security provisions are incorporated into all service contracts and vendor relationships.

Supports BCNU departments with review and recommending amendments for revision of service contracts.

Deliversongoing training and continuous improvement inrecordsgovernanceand records management to BCNU staff and members.

Supports BCNU staff inrecords management, privacy, and securityof information.

Supports internal bylaw and policy management.

Supports BCNU election processes.

Supports BCNU Pensions and Benefits work arising out of the NBA.

Supports special project management, and

Any other related duty and/or function yet to bedetermined.

Qualifications

The successful applicant must have:

College or university education in an approved Business Administration, Law, Political Science and/or Social Sciences program or an equivalent combination of education and related experience.

Demonstrates in-depth knowledge and expertise of BC PIPA, including experience conducting PIAs, and familiarity with PIPEDA, related provincial acts (e.g., AB PIPA, QC Law 25, and ONT PHIPA), and GDPR.

Discretion and sound judgement in handling sensitive and confidential information.

Excellent written skills, including proofreading and editing skills, with demonstrated ability to produce clear, precise, and professional documents.

Excellent legal and analytical research skills are an asset.

Basic proficiency and practical experience in business contract review and drafting are an asset.

Foundational understanding of project management frameworks is an asset.

Working knowledge of risk management principles is an asset.

Basic understanding of Pension Plans and Benefit Plans is an asset.

Demonstrated and proven ability to work collaboratively in a team environment.

Proficiency with Microsoft Office Suite and ability to learn new systems, including document management systems.

A thorough understanding of and commitment to trade union philosophy.

A willingness to travel throughout the province, carry a valid driver's license, and access to a vehicle to attend off site BCNU business when required.
