The Opportunity:

Supports the organization’s disability management, employee health and wellness programs by serving as the primary intake across Canadian operations. This role provides administrative and operational support for occupational and non‑occupational disability programs, Employee Assistance Program (EAP) services, vendor coordination, invoice processing, and general HR activities. The Analyst also contributes to policy administration, employee inquiries, documentation management, and cross‑functional support within the HR team to ensure consistent, compliant, and efficient service delivery.

Responsibilities:

  • Serve as the primary point of contact for all disability related inquiries from employees, leaders, and vendors.
  • Coordinate the administration of Short Term Disability (STD), Long Term Disability (LTD), Workers’ Compensation, and leave programs.
  • Complete and submit employer documentation and required forms to disability carriers and third party administrators.
  • Monitor case progress, ensure timely follow up, and maintain ongoing communication with employees, managers, and vendors.
  • Support return to work planning, including modified duties, accommodation requests, and coordination with HR, Health & Safety and Managers.
  • Maintain accurate and confidential case files, documentation, and records in accordance with policy, privacy legislation, and internal standards.
  • Liaise with disability carriers, EAP provider, occupational health clinics and other health related vendors to support day to day program operations.
  • Coordinate the exchange of information, resolve service issues, and ensure timely follow up with external partners.
  • Maintain up to date program documentation, standard operating procedures (SOPs), and process maps to support consistent and compliant service delivery.
  • Review and validate vendor invoices for accuracy and completeness.
  • Reconcile charges against contracts, service usage, and employee eligibility to ensure proper billing.
  • Prepare and submit monthly payment requests and monitor invoice status through to completion.
  • Maintain organized financial records and support audits or financial reviews as required.
  • Collaborate with vendors, Finance, and HR partners to resolve discrepancies or billing issues promptly.
  • Ensure all activities are carried out in compliance with privacy legislation, internal policies, collective agreements, and applicable regulatory requirements.
  • Support internal audits, quality reviews, and continuous improvement initiatives related to disability management.
  • Maintain strict confidentiality of employee medical information and handle all sensitive data in accordance with organizational standards and legal obligations.
  • Support policy administration, documentation updates, and process improvements.

Education:

  • Certified Disability Management Professional credentials is an asset.
  • Proficiency with Microsoft Office, including Outlook, Word, and Excel.
  • Ability to handle confidential and sensitive information with professionalism and discretion.
  • Strong Excel skills, including pivot tables and VLOOKUP/XLOOKUP.
  • Experience using HRIS systems, case management platforms, or related HR tools.

Requirements:

  • 5+ years of experience in group benefits, disability administration, or medical administration within a professional environment.
  • Experience with STD/LTD, Workers’ Compensation, or medical case management
  • Ability to interpret medical documentation and understand disability program requirements.
  • Demonstrated ability to manage multiple tasks, deadlines, and competing priorities in a fast paced setting.
  • Strong interpersonal, teamwork, and customer service skills with the ability to build effective working relationships.
  • Excellent verbal and written communication skills.
  • Sound judgment, tact, and problem solving abilities.
