Founded as a division of Uniglobe Specialty Travel 2005 DCT is a local family owned and operated business located in downtown Vancouver. Over the years we have evolved to accommodate a diverse array of adventurers from all corners of the world. Our portfolio of brands under Discover Canada Tours include: Discover Canada Student Adventures Destination Snow West Trek West Trek Social Club and most recently Discover Vancouver Tours.
We are looking for someone who brings a commitment for excellence and teamwork to join our Operations team as an Operations Coordinator.

What Youll Be Doing:
Reporting to the Operations Manager working closely with the Fleet Supervisor and the Tour Supervisor the Operations Coordinator is responsible for supporting the daily operations of tours by ensuring all logistical tasks such as tour bags passenger lists and equipment are properly prepared and organized. This role involves assisting the Operations team with tour logistics supplier coordination and inventory management. Additionally the Operations Coordinator will support various brands and departments in executing special projects and tasks. You will need to be detail-oriented organized and adaptable with strong communication and problem-solving skills to help maintain smooth tour operations and enhance the client experience.
Work Environment and Typical Schedule

  • The typical work week:
  • 5 days/week.
  • Monday Friday (9:00 AM 5:30 PM) with occasional weekend duties based on operational needs.
  • Please note that you will need to have flexibility with your hours for yard and fleet work.
  • During the summer season:
  • Work days can vary depending on many factors to include weekends and holidays as well as heavy volume tour days.
  • Sunday Thursday schedule may apply.
  • This is a hybrid role. Your general working hours are split between the office sales assisting/guiding on tours departures and the yard.
  • Rotational on-call duties including potential full-day weekend shifts during peak seasons.
  • Work location: Office/yard-based position at headquarters in downtown Vancouver.

Core Responsibilities
As an Operations Coordinator your core responsibilities include:
Tour Coordination & Logistics
Assist the Operations team with daily operations tasks as listed below:

  • Destination Coordination: Manage assigned destinations including creating itineraries calling suppliers booking activities meal reservations and organizing passenger rooming and activity lists.
  • Assist with Tour Logistics: Check over weekly ferry guide and bus dispatch sheets ensuring reservations are correct.
  • Updating Live Guide Schedule & Master Trip List: Ensure conflicts are identified and communicated to the Operations Manager.
  • Booking System Support: Assist with loading and adjusting tour information in the booking system ensuring accuracy.
Tour Guide Support & Client Experience

  • Tour Bag Preparation Assist in developing and organizing tour materials (passenger lists waivers vouchers expense forms bus signs etc.):
  • Pre-tour: Review and update documented guidelines for tour bag preparation train Operations interns conduct quality checks and maintain ticket/voucher inventory.
  • Post-tour: Ensure guides return bags on time check contents follow up on missing items and coordinate charges for lost materials with accounting.
  • Departures Coordination: Bring required tour information and supplies to departure locations assist with guest check-in manage waiver forms contact late arrivals and manage crowd control.
  • Tour Bag Support: Drop off and collect tour bags from guides and the operations team.
  • Assistant Tour Guide and Chaperone Roles: Travel on tours as required to gain product knowledge.

Operational Support & Administration

  • Support the Sales Team: Be available for shift work at the sales booths (based on the sales booths schedule) and in school with presentations and promotions.
  • Accounting Support: Process credit card payments to ensure accuracy within the booking system.
  • General Office Duties: Answer the phones make bookings assist walk-in clients handle customer service inquiries photocopying and manage general info emails.
  • Data Input & Administration: Assist with maintaining records entering data and supporting office operations for example inputting items from the WIP and Live Guide
  • Inventory Management: Track tour supplies equipment and clothing ensuring timely returns and addressing missing items.

Fleet & Yard

  • Fleet Support:
  • Stock vehicle inventory as per the Fleet & Day Tour Operations Supervisors instructions.
  • Assist the mechanic with minor vehicle maintenance (e.g. topping up fluids).
  • Maintain cleanliness of all DCT-occupied areas.
  • Fleet Cleaning & Maintenance:
  • Assist the detailing team in ensuring vehicles are clean inside.
  • Seasonal Equipment Management:
  • Summer/Spring: Organize pack and clean camping equipment ensuring proper loading/unloading and checking for damage.
  • Fall/Winter: Organize pack and track winter sports equipment (e.g. ski gear) developing a tracking system and conducting quality checks.
  • Event Assistance: Assist with sporting events West Trek soccer tournaments and other special events.

Other Support Duties

  • West Trek Support: Assist the West Trek team with other sales and promotional initiatives as requested to support customer interactions.
  • Event & Promotional Assistance: Help organize and implement special events sell tickets for activities (e.g. boat cruises theme parties) and assist with West Trek Club nights when needed.
  • Leadership & Enthusiasm: Represent Discover Canada Tours professionally promote a positive company image and communicate in English at all times.

What Were Looking for:

  • Legally entitled to work in Canada (proof of authorization required). Candidates must hold valid work authorization for the duration of the role (minimum 1224 months remaining).
  • Previous experience in operations logistics hospitality events management or tourism is required.
  • Experience in fleet/yard maintenance event support or outdoor operations is preferred.
  • Valid Class 5 BC Drivers License (or equivalent) required; Class 4 (unrestricted) license considered an asset.
  • First Aid and CPR certification is an asset.
  • Clean Criminal Record Check with the Vulnerable sector is an asset.
  • Proficient in Microsoft Office and Google Suite.
  • Previous experiences working with Fareharbour Ventrata or similar booking systems are assets.
  • Strong organizational and multitasking skills with high attention to detail.
  • Ability to adapt quickly in a fast-paced dynamic work environment.
  • Excellent communication and interpersonal skills to work effectively with colleagues suppliers and clients.
  • Basic mechanical aptitude and willingness to assist with minor vehicle maintenance.
  • Physically able to lift carry and move supplies/equipment (up to 50 lbs).
  • Proactive problem-solver with the ability to work independently and in a team environment.
